Job description

We are looking for a Receptionist/Ward Clerk to join our team!

Our Receptionist/Ward Clerk will provide clerical support to the GI outpatient unit. This includes working on Reception and supporting the Administration Manager to carry out administrative tasks to help support the wider multi-disciplinary team.

  1. To greet patients on Reception, using the relevant IT systems to register patients, make appointments, attend and cancel appointments, admit and discharge patients, transfer medical records and input clinical letters as required. This may include some typing of basic letters from dictation when cross covering the secretarial team.
  2. Assist with general office/reception duties on a daily basis including filing, actioning outcomes, requesting and chasing medical notes, sending on medical notes to other departments, ordering stationary, ordering medical stock and answering the phone to patients and other service users.
  3. Moving and lifting of patient notes to ensure the efficient and effective support to the department. This will include unloading heavy boxes of notes from medical records each day and prepping notes with relevant referrals to ensure a smooth outpatient experience for our patients.
  4. To undertake a variety of basic office duties, such as filing, opening and distributing post, photocopying and scanning.
  5. To answer telephone enquiries in an efficient manner and ensure appropriate follow through using initiative to deal with routine enquiries.
  6. To provide cover for the other members of the secretarial and administration team, as required.
  7. On rare occasions, assist Allerton inpatient ward by answering the phone and taking messages if they are experiencing staffing issues.
