Job description

Patients:

Process appointment requests from patients by telephone and in person. Manage patient bookings manually or through the booking system. Handle visit requests, register new patients and temporary residents, and process patient address changes manually or via GP links. Manage repeat prescription requests according to practice guidelines. Accept and process specimens ready for collection. Understand the practice's appointment system, including individual slot types and times. Have a clear understanding of telephone systems, both daytime and out of hours.

Perform computer data entry and record information following practice procedures and GDPR. Take messages and relay information. Complete workflow tasks within agreed timescales, including:

  • Processing recalls
  • Allocating pathology results
  • Scanning medical information to patient records
  • Assigning workflow to doctors
  • Read coding medical information
  • Processing out of hours electronically received information
  • Updating records when a patient is deceased and understanding the process
  • Processing online prescription requests and managing no-mads
  • Handling hospital discharge letters
  • Processing scanned workflow from doctors
  • Managing patient deductions
  • Recalling chronic disease management
  • Processing tasks in SystmOne
  • Handling insurance reports and medical records requests
Medical Records:

Manage medical records by keeping them neat, tidy, and in good repair. Update patient details such as address and telephone numbers in the medical records. Document all patient contacts in the computerized medical record.

Reception:

At opening, check that the doctors' rooms, waiting area, and reception are heated, ventilated, clean, and tidy. Assist in organizing patient appointments and communicate information to staff, patients, and healthcare providers. Ensure the surgeries are stocked with necessary stationery and equipment. Receive and exchange routine information between clinicians, healthcare providers, staff, patients, and external agencies.
