Job Summary

We're thrilled to offer an exciting opportunity to join our UK HQ in Aylesbury as a Receptionist & Facilities Coordinator to provide front of house and operational support.

You'll play a key role in supporting the smooth operation of our reception, where you will professionally represent the business to all visitors and be at the heart of providing essential administration/facility co-ordination services that support the smooth, efficient and seamless running of the offices/facilities.

The role is office based between the hours of 8.00 am and 4.00 pm Monday to Friday

Responsibilities

  • W elcome visitors and provide assistance as needed, creating a receptive and positive impression.
  • Assist with co-ordinating facilities management ensuring everything runs smoothly, from maintenance and cleaning to health & safety compliance.
  • Offer seamless administrative support to key business leaders.
  • Co-ordinate and organise meetings and events
  • Efficiently manager incoming and out going mail and correspondence.
  • Route phone calls and emails, acting as a key communication hub for the office.
  • Manage suppliers and keep stock of supplies, placing orders where required.
  • Arrange travel & accommodation support for key business leaders & visitors.
  • Co-ordinate office activities and operations to ensure efficency and compliance.
  • General administrative support when required.
  • Undertake such other duties, as may reasonably be required within the scope of the role and the function.

Qualifications

  • Proven experience in reception/front of house duties & general administration.
  • Exceptional organizational skills with a keen eye for detail and accuracy.
  • Able to maintain confidentiality, integrity and demonstrate diplomacy and tact at all times.
  • Computer literate and proficient in Microsoft Office.
  • Self-motivated with the ability to work independently and proactively manage tasks.
  • Excellent team player with strong communication and relationship management skills.
  • Flexible and adaptive to change in a dynamic environment.
  • Background in facilities coordination is an added advantage.
