We have a fantastic friendly team and are looking for another member for our reception team.

Helping patients and supporting the team in delivering healthcare is an extremely satisfying and rewarding opportunity.

This post is for 22 hours per week. Our core working hours are 8am-6:30pm and the applicant will be expected to cover at least one late night until 6:30pm.

PLEASE NOTE, some posts attract a high volume of applications, therefore the Practice may close a post early if it is deemed that there are enough applications for the vacancy.

Main duties of the job

Your main duties will include dealing with patients, booking appointments, issuing of prescriptions, answering the telephone, handling and solving all patient queries, entering data accurately, taking messages appropriately and relaying to appropriate member of the team, relaying test results & messages to patients, registering new patients and other general reception and administrative duties. The position can be fast moving at times so the ability to learn new skills quickly and easily and prioritise workload are essential skills. You must be computer literate and possess good communication skills.

We are a rural practice situated in beautiful villages with picturesque views. The practice provides excellent levels of patient care. We have GPs, ANPs, Nurses, Pharmacists, HCAs, a Musculoskeletal Practitioner. The reception team are led by a Clinical Admin Manager. We have an excellent management team structure that includes Partners, Practice Manager, an Operations Manager, Clinical Admin Manager, Clinical Support Manager, Management Assistant - so you will be well supported.

Job Responsibilities Include but are not limited to:

Job summary:

Receive, assistand direct patients in accessing the appropriate service or healthcareprofessional in a courteous, efficient and effective way.

Provide generalassistance to the practice team and project a positive and friendly image topatients and other visitors, either in person or via the telephone.

Job responsibilities:

Administration

  • To have a thorough knowledge of all practice procedures
  • To work in accordance of written protocols
  • Pulling/filing notes for surgeries and updating as necessary
  • Filing post in medical records
  • Photocopy as requested

Reception

  • Receiving patients, consulting with members of practice team
  • Handing completed repeat prescriptions to patient and checkingnames and address.
  • Be able to cover all reception position as necessary

Appointments

  • Process appointment requests for today/future appointments frompatients by telephone and in person.
  • Deal with visits/requests

Computer

  • Registrations of new patients computer data entry and medicalrecords
  • Process patients changes of address computer data and medicalrecords (have knowledge of practice area)
  • Process repeat prescription requests in accordance with practiceguidelines

Telephone

  • Have working knowledge of telephone/bleep system, during and afterhours
  • Cover for telephonist when necessary

OtherTasks

  • Ensure building security have thorough knowledge ofdoors/windows/alarm
  • Any other tasks allocated by managers

The post-holder will assist in promoting andmaintaining their own and others health, safety and security as defined in thepractice health & safety policy, the practice health & safety manual,and the practice infection control policy and published procedures. This willinclude:

  • Using personal security systems within the workplace according topractice guidelines
  • Identifying the risks involved in work activities and undertakingsuch activities in a way that manages those risks
  • Making effective use of training to update knowledge and skills
  • Using appropriate infection control procedures, maintaining workareas in a tidy and safe way and free from hazards
  • Actively reporting of health and safety hazards and infectionhazards immediately when recognised
  • Keeping own work areas and general/patient areas generally clean,assisting in the maintenance of general standards of cleanlinessconsistent with the scope of the job holders role
  • Undertaking periodic infection control training (minimum annually)
