Job description

A great opportunity has become available at HTP Apprenticeship College, as we are looking to recruit for a Receptionist/Administrator at our Old Grammar School Campus in Newport.

HTP celebrates 25 years of supporting learners and businesses this year, and has just won the Kings Award for Enterprise for promoting opportunity.

The role in based on the reception desk, but will support all daily activities relating to visitors and administration at the centre.

The successful applicant will also be expected to undertake the level 3 Business Administrator apprenticeship, which will be delivered by us at HTP.

The Ideal Candidate:

Ideally, some experience of reception, customer facing or administration work, and/or experience or knowledge of working, dealing with and helping members of the public.

Responsibilities of the Post:

·The reception/Administrator main role is to provide flexible and varied support for HTP staff and learners as well as any visitors to site or external suppliers or working partners

·To maintain security for the building by providing passes to visitors and monitoring learner activities

·Managing reception area including welcoming guests and answering phone calls and responding appropriately to staff, learner, caller or guest needs

·To organise meetings, scheduling appointments and overseeing room bookings and facilities managements

·Providing administration support to the Business Development Team. This will include contacting and booking interview appointments for potential learners, monitoring applications made, job boards, and updating HTP’s client management system

·To undertake a variety of administrative tasks relevant to the role

Supporting HTP Staff by:

·Managing reception activities and forwarding appropriate enquiries to relevant staff

·Working as part of the team to ensure that the wellbeing and personal development of the learner enhances their learning opportunities and life skills

·Attending team meetings to maximise the development of learning programmes and to assist in the delivery of the individual learning programmes on a daily basis to promote learning, behaviour and communication skills.

Supporting HTP as an organisation by:

·Supporting links between learners, HTP and any other external agencies that HTP works with

·Participating in relevant professional development as deemed appropriate for the needs of HTP and its learners

·Understanding and applying the HTP policies and quality procedures and any relevant statutory guidelines

·Maintaining confidentiality and sensitivity to learners needs but have regard to the safeguarding procedures of HTP and the local authority

·Assisting in the promotion of HTP learning opportunities to prospective and current learners and stakeholders

·Carrying out duties as directed by the HTP Management

Hours:

Monday to Thursday, 8.30 am to 5.00pm

Friday, 8.30 am to 4.30pm

(30 min lunch break daily)
