Job summary

We are looking to recruit a new part-time Receptionist/Administrator to join our team at Deepcar Medical Centre.

This is a part-time position of 15 hours per week, working on a Thursday afternoon & Friday morning & afternoon. The role includes a cover shift of around 5-6 hours on another day of the week to cover annual leave & sickness for the rest of the Reception/Administration team.

Main duties of the job:

  • Answering telephone calls & the reception desk, booking appointments, dealing with patient queries, ordering prescriptions, processing admin duties for clinical staff, and general administration such as filing and liaising with other healthcare providers in a professional manner, including scanning clinical letters.
  • The duties are variable, depending on what is required on the day.

Job responsibilities

  • Main duties include answering incoming calls, responding to queries, and managing email correspondence promptly.
  • Booking & triaging patient appointments, signposting patients to relevant services.
  • Greeting patients and visitors professionally and courteously at the reception desk.
  • Assisting clinicians as needed, including handling paperwork, stocking consultation rooms, and daily end-of-day duties to meet infection control standards.
  • Managing office supplies, handling incoming/outgoing post, and performing general administrative duties.
  • Maintaining accurate patient records and ensuring confidentiality.

Candidates must have strong communication skills, be friendly, reliable, and willing to learn and develop their skills. They may have access to sensitive information, which must be kept confidential, and should adhere to practice policies on data protection.

The post-holder will promote health, safety, and security, support equality and diversity, participate in training, and communicate effectively within the team and with patients, recognizing the need for alternative communication methods when necessary.
