We are seeking a friendly, professional, and highly organised Reception Administrator to join our busy and welcoming team.

You will be the first point of contact for patients, staff, and visitors, providing an efficient and compassionate reception service. As a key member of the administrative team, you will also support a range of clerical duties to ensure the smooth running of the department.

Main duties of the job

Provide a courteous & efficient reception service, welcoming patients & visitors in person and over the telephone.

Schedule appointments, manage patient records & update information on our systems accurately and confidentially.

Liaise with other staff to support effective service delivery.

Handle general enquiries, correspondence & administrative tasks such as filing, scanning and data entry.

Maintain patient confidentiality & uphold NHS values at all times.

We are looking for highly motivated people, who can work in a busy environment and who have excellent customer service skills. You must be capable of working as part of a team whilst using your own initiative. You are expected to provide a first class service to patients, projecting a positive and friendly image and act as a point of contact between patients and clinical staff.

The Practice is open 7 days a week to offer patients increased access and improve our staff's work:life balance. Successful applicants will work a fixed pattern over several days.

Position 1 -Saturday 8.45am-5pm, Sunday 8.45am-5pm, Monday 2pm-8pm and Tuesday 2pm-8pm (total 28 hours)

Additional hours may be available to the right candidate. Overtime is also available to cover annual leave.

Interviews will be held on Saturday 2nd August 2025. Candidates will be invited into the practice before being offered an interview to enable you to spend time with the reception team. Please be aware we do not offer visa sponsorship.

Our clinical team comprising of 2 partners, 8 salaried GPs, Trainee GPs plus a highly experienced Healthcare Team, First Contact Physios, Clinical Pharmacists, Dieticians, Social Prescribers, Adult and Children Mental Health Practitioners, Practice Manager, Assistant Practice Manager, and experienced reception/administration staff make up a great team.

We are an innovative practice using Workflow Optimisation, Pathology Go, AskMyGP, Docman, Accurx and Care Navigation.

We aim to give our reception/administration team the opportunity to learn all aspects of the role, so improving knowledge and job satisfaction.

Job responsibilities

Person Specification
Qualifications
  • GCSE qualifications including Maths and English
  • NVQ Level 3 in Customer Care
Experience
  • Previous experience in a reception, administrative role or a position with customer facing experience.
  • Excellent interpersonal and communication skills with a friendly, calm manner.
  • Strong organisational skills and attention to detail.
  • Confident in using IT systems, including Microsoft Office and patient management systems (training can be provided).
  • Ability to work independently and as part of a team in a busy environment.
  • Flexibility to work additional hours
  • Experience of working in a GP practice
  • Knowledge of EMIS, Docman, AskMyGP
