Reception / Administration Assistant (09:00 AM to 5:00 PM, 35 hours per week) - Mill Hill (NW7)

Must live within 30 minutes of Mill Hill (NW7)

Job Overview

We are seeking a Reception / Administration Assistant to provide front-of-house reception services and administrative support within a community for elderly residents in independent living in Mill Hill. This role offers excellent benefits and the opportunity to make a meaningful impact.

Responsibilities
  1. Manage reception desk, acting as the first point of contact for residents, visitors, and staff, providing a welcoming environment.
  2. Perform general administrative duties, including maintaining office equipment, ordering supplies, and handling correspondence.
  3. Log maintenance requests and liaise with maintenance teams and contractors.
  4. Facilitate communication between residents and management.
  5. Take minutes at meetings and share information as required.
  6. Assist residents with enquiries and complaints courteously.
  7. Support the organization of resident activities and liaise with external agencies like Adult Social Care.
  8. Provide administrative support to the Estate Manager, support team, and maintenance team.
  9. Maintain databases and ensure GDPR compliance.
  10. Coordinate safety checks and liaise with contractors and cleaning services.
  11. Participate in residents' activities and be on call one week in five.
Qualifications and Experience
  • Relevant qualifications in administration or IT.
  • Recent experience in an office environment.
  • Ability to work independently and as part of a team.
  • Empathy and professionalism in dealing with residents and colleagues.
