Overview
An exciting opportunity has arisen for a 30 hour GP Receptionist to join our friendly, innovative, and hardworking team.
Usual opening hours for the Practice are 8am-6.30pm. Successful applicants will be required to work two 8am starts and two 6.30pm finishes. Evening and weekend working will be required on an ad hoc rota basis.
Applicants will be required to cover holiday and sickness when needed.
The ideal candidate will be well motivated and enthusiastic and have excellent customer service, communication, resilience and problem-solving skills. Previous NHS reception experience would be an extreme advantage as well as knowledge of the EMIS clinical system.
Main duties
- The post holder will provide a high quality, professional reception and administrative service to patients, doctors, staff, colleagues, health service professionals and others. To act as the first point of contact for patients contacting the Practice and to portray the Practice in the highest possible professional basis. To ensure that enquiries from patients are efficiently and courteously handled to the mutual satisfaction of the partners and patients.
- To greet patients and visitors to the practice.
- To book in, amend and cancel patient appointments in line with practice appointments procedures ensuring optimum efficiency of the appointment system.
- To ensure that patients are effectively signposted into appropriate slots as per protocol and clinician specification.
- Answering incoming telephone calls, ensuring calls are documented and redirected accordingly.
- Signpost all requests appropriately and accurately in a time-managed manner.
- Receive and accurately record requests for home visits, assessing urgency in accordance with the Practice's protocols.
- Respond and/or redirect all patient and visitor requests accordingly.
- Explain practice arrangements and formal requirements to new patients and temporary residents; ensure procedures are completed.
- Registration of new patients onto the computer system.
- Advise patients of relevant charges for private services, accept payment and issue receipts for same.
- Ensure correspondence, reports, results etc. are filed electronically in the correct patient record.
- Ensure reception and waiting areas are kept neat and tidy.
- Re-stocking of information leaflets/stationery ordering as appropriate.
- Undertake administration tasks as allocated on rota organised by our Reception Manager.
- Check emails on a daily basis.
- Regularly check messages/notifications on EMIS and Docman to check everything has been actioned.
- Action start and end of day procedures as directed.
- As well as the reception team there is a need to work closely with GPs, nursing and office staff to ensure the smooth running of the practice, reporting any problems.
- Ensure up-to-date maintenance of both computerised and manual filing systems (i.e. patient notes).
- Amalgamation of new patient records.
- Check all consulting rooms daily for scripts and any shredding waste.
