Here at HitachiRail, we are seeking a dedicated Receptionist/Administrator to join our team at Stoke Gifford Train Maintenance Centre in Bristol.

Location: Stoke Gifford, Bristol

Contract: Permanent

Hours: Office hours (Monday to Friday)

Salary: Competitive

Accountabilities
In this dynamic role, you will serve as the primary point of contact for front office reception. Your responsibilities will include the administrative support of all departments within the site delivering exemplary customer service, and ensuring the seamless day-to-day operations of our facility. Your contribution will be integral to fostering a welcoming environment for clients, visitors, and staff alike.
Specifically, you will be responsible for the following deliverables:

  • Provision of a professional and efficient reception, meet and greet all visitors, arrange security passes
  • if needed and control the ANPR system.
  • Management of meeting rooms, and ordering catering as required.
  • Receive and redirect incoming calls, emails and post.
  • Responsible for ensuring all visitor areas are kept in presentable condition.
  • Managing the correct levels of Stationery and kitchen supplies
  • Providing general administration support as required.
  • Management of HRL documents and depot forms, procedures and briefs on Singlepoint database.
  • Support audits relating to depot administrative processes.
  • Collating information and compilation of period reports and presentations as required.
  • Attend meetings as required, taking notes and action points from the meeting, typing up notes and distributing as required.
  • Supporting the administrative process related to any TMC based charity events.
  • Support local wellbeing and staff welfare improvement initiatives.
  • To undertake any other reasonable duties and responsibilities as may be required.

Qualifications

  • English GCSE level or equivalent
  • Mathematics GCSE level or equivalent.
  • Vocational equivalents in administration or business

Behavioural

  • Able to represent Hitachi in a professional manner at all times
  • First class telephone manner and the ability to greet all visitors to the depot in a professional and friendly manner
  • Pragmatic, practical and flexible attitude
  • Sound knowledge of, and compliance to, rules and regulations
  • Good team worker
  • Good written and verbal communication skills
  • Ability to apply a strong attention to detail

Desirable

  • Typing skills typically 50wpm
  • Holder of a valid UK Driving License
