IntraHealth is recruiting for a Medical Receptionist/Administrative Support role at our St George Medical Practice.

Our ideal candidate will have experience in primary care and secretarial work, but training will be provided. A willingness to play a leading role in developing patient-centred services is essential. The successful applicant will be enthusiastic, committed, and able to work as part of the practice team, demonstrating good communication and interpersonal skills.

Main Duties of the Job
  1. Provide a high standard of patient service.
  2. Thorough knowledge of practice procedures and adherence to written protocols.
  3. Assist the practice team with clinical and non-clinical tasks.
  4. Project a positive and friendly image to patients and visitors, in person and via telephone.
  5. Assist patients in accessing the appropriate services or healthcare.
  6. Resolve queries/problems from patients, clinicians, and staff.
  7. Deal with external agencies such as other practices, secondary care, and third-party organizations.
  8. Ensure a high-quality patient service within a safe, efficient environment by supporting clinicians and staff.
  9. Undertake clerical, reception, and administrative duties.

Job Responsibilities

Clinical Practice

  • Adhere to statutory requirements outlined in IntraHealth policies and procedures.
  • Conform to responsibilities under the Data Protection Act.
  • Participate in training, appraisals, and skills development.
  • Support individuals’ rights and responsibilities, and facilitate knowledge and skills development.
  • Identify and report resource issues affecting performance.

Communication & Service Quality

  • Maintain quality standards and identify issues of risk.
  • Assess personal performance and contribute to team improvements.
  • Work effectively with other agencies to meet patient needs.
  • Manage time, workload, and resources efficiently.
Overview of Tasks
  • Prepare and organize rooms, stock replenishment, and ensure supplies.
  • Maintain a tidy, safe, and welcoming reception area.
  • Make and manage appointments, register patients, and handle enquiries.
  • Deal with external agencies and coordinate patient care logistics.
  • Answer phones, process requests, and manage correspondence.
  • Order and manage medical records, samples, and test results.
  • Process payments, handle petty cash, and record transactions.
  • Scan documents, update medical records, and manage administrative tasks.
  • Assist with target areas like QOF, KPI’s, and other NHS initiatives.
  • Handle complaints according to company procedures.
Person Specification
Experience
  • Experience in a receptionist/administrative role.
  • Experience with clinical computer systems.

  • Proficiency in MS Word and Excel.
