You will need to demonstrate a positive and professional impression of yourself and the GP Practice by delivering excellent customer service and administration to patients and customers alike. You should also be able to handle a fast-paced environment while multitasking.
Main duties of the job
Responsibilities will include:
- Undertaking a wide range of reception and administrative duties and providing general support to the multidisciplinary team.
- Processing information (electronic and hard copy) promptly and assisting patients as required.
- Acting as the central point of contact for patients, distributing information, messages, and enquiries for the clinical team, liaising with team members and external agencies such as secondary care and community service providers.
- Liaising with multidisciplinary team members and external agencies in accordance with current policies, including the use of the electronic referral service (ERS).

Job responsibilities
The core responsibilities of the receptionist/administration assistant include, but are not limited to, the following. There may be occasional additional tasks depending on workload and staffing:
- Maintaining and monitoring the practice appointment system.
- Processing personal, telephone, and e-requests for appointments.
- Answering incoming calls, transferring calls, or handling requests appropriately.
- Processing incoming faxes.
- Signposting patients to the correct service.
- Processing incoming and outgoing mail.
- Initiating contact with and responding to requests from patients, team members, and external agencies.
- Processing referrals to external agencies such as secondary care using ERS.
- Processing recall letters as requested.
- Handling all DNA letters according to current policy.
- Photocopying documentation as needed.
- Filing and storing records.
- Data entry of new and temporary registrations and relevant patient information.
- Inputting data into patient healthcare records as necessary.
- Scanning patient-related documents and attaching scanned documents to records.
- Processing requests for information such as SARs, insurance, solicitors' letters, and DVLA forms.
- Managing all queries efficiently.
- Carrying out system searches upon request.
- Maintaining a clean and organized workspace.
- Monitoring and maintaining the reception area and notice boards.
- Supporting clinical staff with general tasks.
