Receptionist / Administration Officer
Location: Castleford (Wakefield)
Client: Wakefield Council
Contract Type: Temporary (3 months)
Hours: Full-time – Monday to Friday (08:30 – 17:00)
Salary: £15.66 per hour (Umbrella)
About the Role
Receptionist / Administration Officer to provide high-quality front-of-house and administrative support within the Connecting Care service. Based at the Five Towns Resource Centre in Castleford, this role supports the Safeguarding and Reviewing Unit Administration Team, operating in a fast-paced environment and dealing with highly sensitive and confidential information.
Key Responsibilities
  • Act as the first point of contact for users, visitors, and professionals, dealing with telephone, face-to-face, and email enquiries.
  • Deliver an efficient reception and administrative service, including live minute taking, data entry, diary management, and meeting coordination.
  • Maintain confidentiality while handling sensitive information, including cases involving the abuse or injury of children and young people.
  • Arrange and manage calendars, appointments, room bookings, and invitations for internal/external meetings.
  • Process incoming and outgoing post; scan, index, and maintain electronic and manual records.
  • Assist with ordering supplies, managing invoices, and other financial administration tasks.
  • Support building-related health and safety processes (e.g., fire testing, accident reporting).
  • Contribute to continuous service improvement and team knowledge sharing.
  • Maintain a tidy and welcoming reception and meeting space.
Experience & Knowledge
Essential:
  • Experience in a customer-facing role.
  • Proven administrative experience in a team setting.
  • Minute-taking and diary management experience.
  • Knowledge of Microsoft Office and other IT systems.
  • Awareness of data protection, confidentiality, and safeguarding practices.
  • Experience working under pressure and meeting deadlines.
Desirable:
  • Experience working with sensitive information.
  • Understanding of local government or multi-agency environments.
  • Familiarity with financial IT systems (e.g., Agresso).
Skills & Competencies
  • Excellent communication skills (written, verbal, interpersonal).
  • Strong organisational and time management abilities.
  • Ability to stay calm under pressure and work on own initiative.
  • High attention to detail and accuracy in data entry and documentation.

Additional Requirements
  • GCSEs at grade C or above (including English and Maths) or equivalent.
  • ICT qualification or equivalent experience.
  • Ability to maintain confidentiality and manage emotive situations professionally.
  • Willingness to undertake mandatory safeguarding training.
  • Flexibility to work occasionally from other locations and during evenings/weekends, if required.
  • This role requires an enhanced DBS check due to contact with vulnerable adults and sensitive information.
