Job description

This vacancy is within the accounting and office function of a firm of chartered accountants based in Northampton.

The role is a full time position of 37.5 hours per week, with the working hours being Monday to Friday and with flexibility on the start and finish times.

• Man reception desk, greet clients/visitors
• Redirect phones daily for remote workers
• Answer telephone, direct calls appropriately and take messages when required
• Deal with telephone and email/website enquiries
• Monitoring incoming emails, storing on network and distributing to staff
• Copy typing of correspondence and documents, presentations, reports
• Generating letters from client database
• Generating out-going emails
• Logging and distributing/scanning incoming post
• Preparing and franking outgoing post, and drop off at post box
• Operate a variety of standard office machines, including a personal computer (plus a variety of computer software), phone, shredder, scanner/copier and franking machine
• Photocopying, printing and binding documents and accounts
• Maintain spreadsheets and databases
• Booking meeting rooms
• Keeping diaries and making appointments
• Arranging meetings, occasionally taking minutes and keeping notes when required
• Occasional arrangement of travel, accommodation and staff entertainment
• Logging (and maintaining log) of books and records received/returned to/from client
• Chasing clients to collect records in
• Sorting filing into client and file order and then filing it
• Scanning of paper files to digital files
• Monitoring of stationery items required
• Any other duties which may be reasonably required
