A healthcare practice in Coventry seeks a dedicated receptionist/administrator. The successful candidate will manage reception duties, including patient interactions and administrative tasks. Strong interpersonal and computer skills are essential, along with experience in customer-facing roles. The role demands attention to detail and the ability to work well under pressure.
Jubilee Healthcare is looking for a dedicated receptionist/administrator to work in our practice. We care for 10,000 patients, have a full clinical and admin/reception team and also have attached staff such as physio, pharmacist and social prescribers.
As Receptionist, you will be the first port of call for patients and visitors to the practice. You will need extremely good interpersonal skills and will need to have good computer skills. You will need to be accurate and pay attention to detail. Previous experience in customer facing settings would definitely be an advantage.
The ability to prioritise workload and work under great pressure is essential to this role. You will need high levels of diplomacy and integrity and be able to work as part of a team.
The main duty of the role is to ensure the smooth running of reception and your associated duties.

We are a two site practice caring for 10,000 patients.
We have a full complement of clinical staff including doctors, nurses and pharmacist to name a few, plus a full admin/reception team.
We are a friendly approachable team with a can-do attitude.
Reception
Unlock thesurgery in the morning and ensure consulting rooms are tidy for morningsurgery. Lock up after surgery has finished, and carry out routine checksrequired to maintain the security of the building.
Deal withqueries and requests from patients and other visitors as required, takingadvice from medical staff where necessary.
Change thebedroll in each consulting room after every surgery session and change linen,tea towels and hand towels regularly.
Ventilate andtidy the waiting room and reception area after each surgery session.
Ensure that anadequate supply of stationary is available in the consulting rooms andreception area.
Take bloodpressure reading from patients and enter results in patient records.
Booking patientsinto appointments.
To ensure thatwe have sufficient stocks for urine pots, swabs etc and ordered. All orderforms should be dated and saved in the specific folder and a copy of theorder form to be pinned to the notice board until stocks have arrived insurgery.
Administration
Accept andaccurately record requests for home visits and allocate these to the Doctorsin line with practice policy.
Accept andprocess requests for repeat prescriptions in line with practice policy.
Book ambulancesfor patients attending hospital as required.
Take accuratemessages for Doctors, Practice Nurses, District Nurses/Midwives, HealthVisitors and Practice Manager.
Liase withhospitals and other outside agencies.
Open mail andensure this is scanned onto the Docman system and sent through to therelevant parties.
Mail thatarrives directly into the Docman and clinical system is processed and forwardappropriately.
To ensure thatphones are answered within 6 rings and that all calls are triaged and bookedinto the correct surgeries And documented clearly with any informationrelevant in notes
Computerised Appointments
To carry outtasks associated with the management of the appointments system, and patientrecords.
Create andcancel computerised appointments for all doctors and nurses as necessary,ensuring that no appointments are booked for doctors or nurses that are notrelevant to that specific person.
Management of Patient Records
Retrieve andfile paper records as necessary.
To carry outadministrative tasks through Emis and Docman associated with prescriptions,hospital and laboratory results, medical reports and patient records inaccordance with practice policy.
Maintainaccurate records of all new registrations, returned notes, deceased patientsand changes to patient details.
Ensure thatpatients are called for cervical cytology, postnatal examination andpre-school vaccinations as appropriate.
When orderingMethotrexate, Warfarin, etc that all latest bloods are imported into notesand recorded on the request to the doctors. Should latest bloods not recordedthen blood form should be requested on the TO Do list and patient should beinformed that blood test will be needed.
To monitor the TO DO listand ensure that this has all been completed before the end of the shift.
Ensure that allappointments are booked from the morning surgery before the afternoons toensure that appointments are not wasted.
To liaise with district nurses, hospitals,social services and other external agencies and to document the informationand pass on to the relevant parties.
Any other duties appropriate to the grade requestedby the practice manager, practice coordinator, doctors or nurses.
Work additional hours to provide cover duringholidays/staff absence and when surgeries run over.
