Job Description

Job Title:Reception or FOH Administrator

Department:Front of House

Reports to:Guest Relations Duty Manager

Responsible for:FOH in the absence of the Assistant FOH Duty Manager

Scope and general purpose:

To assist with the administration and guest relations to ensure the smooth day-to-day running of Front of House and Reception. Exceed the expectations of our guests to a five-star standard, inspire and create unique memorable experiences of escape and adventure, so everyone feels special.

Main responsibilities:

Guests

  • Prepare a 5* standard and +1 service standard of all arriving guests.
  • Assist with the planning and organization of small events and functions as required.
  • Deal with guest enquiries, reservations, and requests, and follow up with appropriate correspondence via telephone, mail, or email.
  • Ensure all guests, team members, and visitors receive an outstanding welcome and first impression of the company.
  • Ensure efficient check-in and check-out processes for guests.
  • Ensure guests leave with a memorable last impression during departure.
  • Communicate with guests during their stay to exceed expectations.
  • Handle guest complaints and queries according to Forbes Standards and report actions to relevant managers.

Team

  • Ensure all relevant departments are informed to meet and exceed guests’ requests.
  • Assist the 1887 team with guest requests and service of tea, coffee, or afternoon tea.

Productivity

  • Assist with daily administration, typing, and office work.
  • Help manage Hart to ensure data is current and accurate.

Health & Safety

  • Report concerns, near misses, and support the see, it, sort it, fix it approach.

Environment

  • Be proactive in reducing energy consumption and assist with waste management during your shift.
