Job description

We are looking for enthusiastic receptionist/admin (Docman) assistants to complete our primary care administrative team.

You should be proactive, caring and committed to the role and able to work well independently as well as within the team, reporting directly to the Reception Supervisor and Practice Management Team.

Main duties of the job

The role will involve being the initial face of the practice, it is important to have great communication skills, showing empathy when needed. Please see job description for more details.

You will work within the administrative team and team working is an essential attribute to being successful in this role. You will need to be able to use your initiative where necessary, whilst at the same time understanding and remaining within your limitations.

Training, both internally and externally will be provided as required. Support is always offered from within the team.

Bodey Medical Centre is a fast paced, friendly General Practice based in Fallowfield, South Manchester. We are located in a purpose built premises with excellent transport links.

We are a training Practice, proactive, high achieving and actively promote a high level of patient care through our dynamic multidisciplinary team. We are active members of our local Primary Care Network.

We provide a large range of services and have a varied patient base covering areas of affluence as well as some deprivation. We also provide care to a large student population.

Job responsibilities
  1. Toundertake all aspects of reception duties and ensure that the reception area of the Practice runs smoothly, provides a high level of service to patients, doctors, nurses and other members of the Practice team.
  2. Answer all telephone calls promptly
  3. Assess and advise patients how to arrange appointments via AccuRX Triage and book advanced appointments where required
  4. Record and handle home visit requests
  5. Answer and handle all mobile telephone calls
  6. Deal with general enquiries and complaints
  7. Contact other providers
  8. Register new patients and add to the computer system
  9. Arrive patients for their appointments
  10. Greet and direct patients and visitors
  11. Hand out prescriptions to patients or their representatives
  12. Give out test results to patients in accordance with Practice protocols
  13. Ensure outstanding queries are explained and handed over to the next shift, as necessary
  14. Respond to needs of doctors and nurses during surgery
  15. Advise and collect payments from patients for non NHS services
  16. Pull, file and print patient records when required
  17. Handle requests for repeat prescriptions
  18. Raise prescriptions as per Practice protocols
  19. Deal with email correspondence from a variety of sources including the surgery website
  20. Deal with queries relating to prescriptions
  21. Input and extract patient and other information from the Practice computer system
  22. Open, scan, attach and distribute post
  23. Process letters through the Docman system, ensuring protocols are followed and relevant actions are sent and coding from incoming documents are entered into the patient records correctly.
  24. Retrieve and act upon emailed information
  25. Arrive and deduct patient records on Practice computer system
  26. Cover duties for other staff absence
  27. Keyholders to open premises and deactivate alarm at start of day when first to arrive
  28. Ensure building is secured and lights switched off during lock up procedure
  29. Ensure kitchen is kept clean and tidy
  30. Observe health and safety guidelines at all times
  31. Observe GDPR and confidentiality guidelines at all times
  32. Complete other core tasks to support smooth running of reception
  33. Offer help to all colleagues
  34. Any other reasonable duties as necessary

£12.21 to £12.56 an hour. Higher rate paid when fully trained.
