The Receptionist will be an integral member of the Capital, Estates and Facilities Directorate who will be expected to work quickly, proactively, and accurately in a fast-paced environment to deliver a high-quality and comprehensive service.

The post holder will be interactive and will liaise with a variety of customers, both internal and external to the Trust, building excellent working relationships and providing an efficient, effective, and professional reception service.

The post holder will work as part of the Facilities Team and will be required to work closely with colleagues, providing a flexible, comprehensive service and covering for colleagues when necessary, with full training provided.

Main duties of the job
  • Assist with room booking requests and queries via telephone or email, booking rooms on behalf of users and escalating issues to the Manager.
  • Use the MICAD Room Booking System to ensure no double bookings occur.
  • Cancel and juggle room bookings as needed to accommodate priority meetings.
  • Act as the first point of contact for the building, determining business needs and assisting visitors with a welcoming, courteous, and professional attitude.
  • Ensure all visitors sign in/out and are provided with relevant identification.
  • Contact staff to announce visitor arrivals.
  • Carry out all reception duties and processes accurately and promptly.
  • Respond to all emails in the 'generic reception' account and handle requests/queries.
  • Prepare meeting rooms and ensure AV equipment is operational before meetings.
  • Liaise with the Logistic Team to confirm room layouts and open/close partitions as required.
  • Process parking payments (cash and card) and liaise with Help Desk to inform about new payments.

Band

Shift work including Saturday (midnight to midnight), weekdays after 8 pm, before 6 am, and all day on Sundays and Public Holidays.
