Job description

Capula is a leading hedge fund, operating in a dynamic environment, committed to delivering outstanding results for our clients. As a vital part of our team, the Receptionist will play a key role in creating a positive first impression and ensuring the smooth operation of our office. We are looking for a polite, proactive and organized professional to join our team and uphold our high standards of excellence.

We are looking to hire a Receptionist, initially on a temporary contract for six months, with the view to going perm. The hours will be 07:00-16:00 for one week, followed by two weeks of 10:00-19:00 on rotation. We are ideally looking for candidates who can start in February 2025.

Responsibilities
  1. To work as a team with one other receptionist to provide an efficient front of house service, greeting clients and employees of Capula
  2. Answer the switchboard for all incoming calls and to distribute messages accordingly
  3. Assist in the management of meeting rooms and diaries, ensuring no duplications or overlaps and that cancelled meetings are reflected in the diary
  4. Set up and clear up meeting rooms at the start and end of every day
  5. Ensure that meeting rooms are fully stocked of refreshments, tidy and presentable at all times
  6. Provide guests with refreshments
  7. Manage the incoming of courier packages and post and communicate the arrival of new items to relevant staff members
  8. Share responsibility for arranging monthly birthday cake and sending out monthly birthday email
  9. Ensure the stationery areas are tidy and well stocked at all times
  10. Assist with ad-hoc printing, filing, archiving, as and when required
  11. Set up video conference calls as and when required
  12. Share responsibility for ordering business cards for new and existing employees
  13. Provide support for the administration team when needed
Requirements
Experience and Skills
  1. Previous front of house experience gained within professional services
  2. Previous exposure to basic administration tasks
  3. Ability to juggle several tasks at once
  4. Ability to stay calm under pressure
  5. Flexible
  6. Strong Microsoft Office suite skills (Word, Excel, PowerPoint)
Education and Qualifications
  1. Educated to minimum A-levels or equivalent
