Job overview

This is an exciting opportunity for an administrator to work within the local community.

Corringham IM&WC is one of four new medical centres being created across Thurrock as part of the Better Care Together Thurrock transformation programme, led by the Thurrock Integrated Care Partnership. This transformation programme includes the following partners: Northeast London Foundation Trust, Basildon and Thurrock University Hospitals NHS Foundation Trust, Essex Partnership University NHS Foundation Trust, NHS Thurrock Clinical Community Group, Thurrock Council and Thurrock Community Voluntary Services.

Main duties of the job

The post holder will be required to provide comprehensive and confidential reception/administrative support to the locality/department to ensure the smooth running of the area.

Key Responsibilities:

  1. Communicate effectively with a range of people, either in person or on the telephone, promptly and in a professional and courteous manner whilst recognising barriers to communication.
  2. Respond to enquiries, and take appropriate action on behalf of the service, by telephone, personal contact.
  3. Manage and maintain an efficient administrative system on behalf of others.
  4. Work without supervision and ensure urgent situations are addressed swiftly.
  5. Ensure workload is managed and prioritised appropriately.
  6. Liaise with all healthcare professionals when booking rooms.
  7. Take and record minutes for team meetings.
  8. Training of any additional staff.
  9. Raising tickets to Estates.
Working for our organisation

NELFT places great importance on new starters being properly welcomed and inducted into the Trust. All new starters will join the Trust on the first Monday of each month and undertake a comprehensive induction of up to two weeks, including mandatory training, systems training, and the allocation of equipment. As part of the process, new starters will have the opportunity to meet the executive team, senior managers, and attend drop-in sessions focusing on engagement, health, wellbeing, and key processes. The induction will be held at our head office in Rainham, Essex.

High Cost Area Supplement - Fringe

This post also attracts payment for High Cost Area Supplement of 5% of the basic salary (with a minimum of £1,258 to a maximum of £2,122 pro rata for part-time).

Detailed job description and main responsibilities

Front of House

  • Facilitate the smooth running of the reception, dealing sensitively with any complaints, problems, or issues arising, highlighting, and referring problems where necessary to the line manager.
  • Take clear messages and pass them promptly to the appropriate team member, using own judgment on urgency.
  • Responsible for ordering stationery and supplies via the electronic procurement system, receipting goods, and chasing shortfalls.
  • Customer Service and Communication
  • Retrieve and record patient information in line with service requirements.
  • Collate information for surveys within the building.
  • Manage parking Eye/iCloud room bookings.
  • Perform daily inspection of the defibrillator bag.
