Job description

This post is for 27.5 hours per week, working the afternoon shift 1.15pm - 6.45pm over both sites ( Stansted branch and Elsenham branch)

The majority of the post holders responsibilitieswill cover administration, reception, filing, scanning and record keeping tosupport the day to day running of the practice. The receptionist will be a partof a multiskilled team providing an effective and high quality standard of careto the practice population.

Main duties of the job

Greeting patients warmly and professionally.

Answering phone calls, dealing with enquiries, and booking appointments.

Checking patients in for their appointments.

Updating patient details accurately in the system.

Providing general information about the practice and its services.

Booking, cancelling, and rescheduling appointments using clinical systems (e.g. EMIS, SystmOne).

Managing urgent/same-day appointment requests effectively.

Job responsibilities
  • Dealing with Patients in a courteous and efficient manner
  • Dealing with telephone enquiries
  • Allocating patient appointments in line with practice appointments
  • Filing patients records
  • Receiving, documenting and forwarding messages
  • Explaining practice procedures to patients
  • Documentation of all contact with patients
  • Ensuring effective communication with all colleagues and patients
  • Providing cross cover for colleagues during planned periods of absence
  • Maintaining a clean and tidy work environment
  • Tidying rooms and preparing for surgeries
  • Ensuring the premises is left secure when leaving at night
  • Chaperoning patients when required and following training
  • Be willing to attend relevant meetings/study and update days even if not on the usual workday
  • Participate in the staff appraisal system
  • Comply with practices policies and procedures
Person Specification
Experience
  • Experience in a Customer facing or administrative role
  • Strong telephone manner
  • Previous NHS experience
  • Able to deal with a crisis with a calm competent manner
  • Ability to work as part of a team and independantly
