We are a dynamic, patient-centered NHS GP training practice dedicated to providing high-quality, compassionate care. Were looking for an experienced, organised, and proactive Reception Supervisor / Assistant Practice Manager to join our team, which includes 6 receptionists/administrators, 5 GP Partners, 1 HCA, 1 Practice Nurse, 1 Physician Associate, and 1 Pharmacist. In this role, youll play a key part in supporting the smooth running of our day-to-day operations.

Role Overview
This role has been created to support the Practice Manager in managing the day-to-day operations of the practice and to provide cover or advice during their absence.
Working closely under the direction of the Practice Manager, the postholder will help improve standards across a broad range of clinical and administrative activities. This position is ideal for someone eager to take initiative, develop their skills, and progress their career within the practice.
Main Responsibilities
Promote, monitor, and document performance and quality standards within the practice using both IT systems and manual processes, under the guidance of the Practice Manager.
Become proficient in all relevant aspects of the clinical software system.
Manage data quality issues and provide support and guidance to practice staff on the use of the clinical system to maintain and improve quality standards.
Undertake specific tasks, project support, or development initiatives as required.
Assist with compliance to statutory requirements, supporting implementation as directed by the Practice Manager.
Work closely with reception and clinical teams to ensure smooth day-to-day operations, escalating any issues to the appropriate person.
Assist with recruitment, induction, training, and review of reception, secretarial, and administrative staff, including managing paperwork, logins, and smartcards for new employees.
Organise staff training on all relevant aspects of general practice.
Authorise and monitor staff absence (holiday, sickness, and other leave), ensuring adequate cover for the rota.
Provide support to all staff by addressing queries, problems, and requests both formally and informally.
Oversee daily staff workload, organising and allocating tasks as needed.
Ensure staff understand and adhere to confidentiality requirements, including Data Protection and Caldicott guidelines.
Maintain policies and procedures and ensure all administrative systems operate smoothly.
Support the Practice Manager with Health and Safety matters to ensure compliance with legislation and best practice.
Provide administrative assistance to the Practice Manager as required.
Act as first point of contact for patient complaints, handling them according to the Practices complaints procedure with the Practice Managers support.
Undertake any other duties as agreed with the Practice Manager.
