A healthcare organization in Leeds is seeking a full-time Reception Manager. The ideal candidate will have strong leadership and IT management skills, with significant experience in a GP surgery. Responsibilities include managing the reception team, maintaining the appointment system, and acting as IT lead for the practice. This role offers a salary range of £25,810 to £27,375 based on experience.
Chapeltown Family Surgery has a full time opportunity for an experienced Reception Manager.
The ideal candidatewill have experience working in General Practice and have significantexperience managing teams as well as IT systems.
This role is pivotalin the practice to ensure great communication and care navigation for patients.We are looking for someone with excellent leadership skills and with the abilityto work under pressure in a very demanding patient focused position.
The position is afull time Reception Manager working 37.5 hours per week with hours to bediscussed at interview.
Flexibility ofhours is essential to meet the needs of the business.
Suitable candidateswill be expected to be available for both mornings and afternoons and for sicknessand holiday cover.
Managing, monitoring and maintaining the practice appointment system
Processing personal and telephone requests for appointments, visits andtelephone consultations, and ensuring callers are directed to the appropriatehealthcare professional
Ensuring the reception/care navigation team work within their policiesand protocols in support of the business functions
Direct line management of the reception/care navigation team, ensuringappropriate staffing throughout the week, arranging staff to cover on shorterdays, managing annual leave for the department, conducting staff 121's and appraisals.
Dealing with first line complaints coming into the surgery.
Managing processes for prescription ordering.
Liaising with associated healthcare agencies and providers
Carry out administrative tasks relating to patient records, includingfiling, document management and ensuring patients can access reports,prescriptions and that they are easily accessible
Manage and maintain patient registrations and deductions
Act as IT reception lead for the surgery, being first line support to members ofthe team where there are problems with the IT systems, printers etc. or to actas subject matter expert for SystmOne, telephone systems, practice emailsystems, practice social media and more.

Along with our 2 GPpartners, 1 Salaried GP, 2 practice nurses and 1 Healthcare Assistant we have an exceptional reception/careco-ordinator team, Secretaries and Admin team.
We are a trainingpractice and mentor Registrars at various stages of their training towardsbecoming a fully qualified GP. In addition we host trainee GP's

Management of the reception/care navigation team ensuring the smoothrunning of the Practice Reception department, providing line management and HRsupport to members of your team
Supporting staff members through training and recognising and utilisingthe skills and experience of the team
Management of the Practice IT equipment, including problem solving,clinical reporting, management of the telephone systems etc.
Promoting the reception department and all extended services availableto our patients
Rotas, availability and allocation changes. Including locums and setting up clinics.
Dealing with complaints in line with the practices policies and procedures
Ensuring adequate staffing, planning and annual leave
