Job summary

ORCA Computing Ltd is seeking a proactive project coordinator to support engineering, commercial and R&D teams across planning, delivery, procurement, stock control and logistics. You will coordinate cross-functional workstreams, maintain plans and trackers, and ensure timely delivery of quantum hardware and components in a fast-growing tech environment.

Qualifications

• Experience in a project coordination, administration, or operations support role.
• Strong written and verbal communication skills, with a track record of producing clear status reports, meeting notes, and stakeholder updates.
• Microsoft 365 (particularly Excel and SharePoint) and project tooling such as Jira, Asana, Notion, or Confluence, and comfortable picking up new systems quickly.
• Highly organised and able to manage competing priorities and deadlines.
• Numerate and accurate, and comfortable handling purchase orders, invoices, budgets, and stock records.
• Comfortable working alongside technical teams and translating between technical detail and operational reality.
• Nice to have: deeptech exposure in hardware or R&D environments.
• Exposure to project management frameworks (e.g. PRINCE2, CAPM)
• Experience with procurement, stock control or inventory management, shipping or customs documentation
• Familiarity with customer delivery in a B2B context

Responsibilities

• Coordinate cross-functional workstreams across engineering, commercial and R&D, keeping plans current with owners, timelines and next steps.
• Schedule meetings, prepare agendas, book resources, maintain action logs and risk registers, and escalate bottlenecks early.
• Prepare status updates for senior project managers and maintain trackers and templates for planning and reporting.
• Manage day-to-day procurement including purchase orders, invoices, and tracking of project expenditure.
• Own stock control: maintain inventory records, monitor levels, reorder when needed and ensure proper storage and labeling.
• Coordinate shipping, logistics, and customs to deliver hardware and materials to customer sites worldwide.
• Provide day-to-day team administration support including timesheets and file archiving.
