Job summary

DCS Recruitment is seeking a Quantity Surveyor/Project Co-ordinator in Birmingham to manage commercial and project coordination from award to final account. You will assist estimating and business development, travel to sites as needed, and ensure commercial processes are adhered to across projects.

The role involves financial control, forecasting, and collaboration with site teams, with reporting lines to senior commercial directors.

Responsibilities

  • Review contract terms and conditions, employer's requirements, and provide commercial advice and solutions
  • Provide ongoing commercial and contractual advice during project life cycle
  • Attend pre-contract and post-contract meetings
  • Travel to and from sites outside normal office hours
  • Monitor, value and agree instructions and variations with client per change procedures
  • Prepare, submit and agree monthly external valuations and oversee interim payments
  • Ensure timely agreement of final accounts with client
  • Monitor costs on each project and prepare CVR aligned to timetable
  • Ensure accurate cash flow reporting and cost forecasting
  • Support in preparing tender enquiry packages and draft sub-contract terms
  • Assist in interaction between commercial and operational site teams

Job Title: Quantity Surveyor
Department: Commercial Department
Purpose and Scope

The Quantity Surveyor / Project Co-ordinator will be responsible for all commercial and project co-ordination duties on a number projects from point of award through to final account. The Quantity Surveyor / Project Co-ordinator will also provide commercial assistance to the estimating department and business development teams

Responsibilities

The main responsibilities of the Quantity Surveyor / Project Co-ordinator will be to:

Commercial Duties
  • Review proposed contract terms and conditions, employer’s requirements, drawings, warranties, bonds and all other contractual documentation and provide commercial advice and contractual / commercial solutions to facilitate amenable resolution
  • Provide ongoing commercial and contractual advice during the life cycle of the project
  • Attend all pre-contract and post contract meetings
  • Expectation to travel to and from sites outside of the normal office hours
  • Monitor, record, value and agree instructions and variations with the client, ensuring compliance with contractual requirements in relation to change order procedures
  • Prepare, submit and agree monthly external valuations with the client and track / oversee settlement of monthly interim payments
  • Ensure timely agreement of final account with the client
  • Accurately monitor costs on each project and prepare cost value reconciliation (CVR) in accordance with DSM accounting and commercial timetable
  • Ensure accurate cash flow reporting takes place
  • Carry out cost management including forecasting
  • Where required, have an active and constructive involvement with dispute resolution.
  • Prepare and issue tender enquiry packages to sub-contact trade contractors
  • Draft and agree sub-contact terms and conditions, place sub-contact orders and administrate sub-contact trade contractors
  • Check and verify all sub-contact applications for payment and invoices and authorise payment at appropriate intervals.
  • Negotiate and agree sub-contact final accounts
  • Actively seek to improve processes and procedures
  • Help ensure that commercial processes are adhered to across the business
  • Effectively assist in managing the assistant quantity surveyors and other commercial support staff
  • Ensure effective interaction between the commercial team and the operational site teams.
Project Co-ordination Duties
  • Liaise with the client and/or their representatives to ensure that appropriate permissions, notifications and associated paperwork are in place prior to commencement of works on site
  • Liaise with the client/others to ensure compliance with specification and statutory requirements
  • Attendance at all pre-commencement and post contract meetings
  • Expectation to travel to and from sites outside of the normal office hours
  • Prepare, agree and update contract programme of works
  • Assist in the administration of pre-commencement information, including H&S paperwork, collation of appropriate notifications, and identification of remaining services and/or service disconnection confirmation
  • Preparation of site pack scope of works drawings, scope of works and works specifications etc.
  • Prepare, sign off and issue site pack information to the contracts department prior to commencement of works
  • Continual liaison with the contracts director and larger project team throughout the duration of each project to ensure all alterations and changes in information are communicated in a timely manner
  • Provide assistance with the preparation and updating of the SWMP and PCIF for each project.
Organisational Relationship

The Quantity Surveyor / Project Co-ordinator will report directly to the Associate Commercial Director, Commercial Director and Contracts Director.

Ensure effective interaction and communication between the commercial team and the operational site teams including the Contracts Director, Contracts Managers, Project Managers and Site Managers.
