Here at Rainbows Children's Hospice, we provide specialist palliative care and end-of-life support to over 750 Babies, Children, and Young People living with life-limiting and life-threatening conditions, as well as approximately 3,000 people, including families, siblings, and carers, across the East Midlands. Simply put, we're here to brighten short lives and support families, wherever they are.
We are currently seeking a proactive and highly organised
Quality & Governance Assistant to support our Governance and Education teams. This vital role provides administrative and secretarial support to the Governance and Education teams, including maintaining clinical policies, coordinating meetings, and supporting policy development. The role involves managing data and reports from systems such as Datix, monitoring incident trends, collating service user feedback, and preparing quality reports for external stakeholders. It also includes liaising with clinical teams and external partners to support audits, compliance, and continuous improvement initiatives.
Location: Onsite at Rainbows Hospice
Hours of work: 22.5 hours across 3-4 days between Monday and Friday.
About the roleSome of the key responsibilities include (but not limited to):- Provide comprehensive secretarial and administrative support to Governance and Education teams, including writing and/or supporting with policies and procedures
- Coordinate and minute Quality and Governance meetings, including agenda planning and paperwork distribution.
- Maintain tracking systems for clinical policies, audits, and improvement plans.
- Support Datix incident reporting, investigations, and produce trend analysis reports, raising awareness of any discrepancies and reoccurring trends to the Head of Quality, Governance and Compliance.
- Collate feedback of service user experience via Datix.
- Liaise with the clinical teams regarding completing audits and supporting with any queries.
- Input and report on clinical training data using Blue Stream Academy and other systems.
- Prepare quarterly quality reports for Integrated Commissioning Boards using multiple data sources.
- Liaise with external partners (e.g., CQC, commissioners) and coordinate collaborative projects.
- Contribute to ad-hoc projects, system management (SystmOne), and record maintenance/destruction.

Requirements- Experience in administration, ideally within a healthcare or similarly regulated environment.
- Good audio and copy typing skills
- Numerate & highly skilled in use of Microsoft Office
- Computer Literate: IT skills in Access Database, Word, Excel, PowerPoint and Outlook
- Equipment use - photocopier, scanner
- Experience of an electronic incident reporting platform such as Datix, Vantage or Ulysses.
- High standard of minute taking skill and report writing skill
