An opportunity has arisen for a Business Administrator to join the Lewisham CAMHS Mental Health Support Team at NHS, providing essential support in a key role focusing on improving mental health outcomes for children and young people. The role involves administrative support for leadership, recruitment processes, and overseeing various communications and quality assurance tasks.
Job summary
Lewisham CAMHS Mental Health Support Team (MHST) is a new early intervention, prevention and wellbeing promotion service designed to help meet the mental health needs of children and young people (CYP) in education settings. Our business administration and data management colleagues are a vital part of our service and the successful candidate will part of an expanding team of dedicated professionals, supporting schools to improve mental health outcomes for children. This post has several components which are detailed in the full job description.
Main duties of the job(1) To provide business administrator support to MHST Leadership Team and to assist in the effective delivery of a comprehensive MHST service and support to Clinical Service Lead/ Managers.(2) Be proficient in time management and able to deal with conflicting priorities in association with high level matters.
(3) Support with the MHST recruitment, ensuring the recruitment process is efficient, timely and meets the requirements for staff working with children and young people.(4) To support Clinical Service Leads with E-Rostering system for the MHST.(5) To lead on service relevant projects, as delegated by the MHST Senior Leadership Team.(6) To provide an excellent standard of customer care and administration support and being a first point of contact for children and families, education settings, colleagues as well as external agencies and other stakeholders for a range of MHST activity(7) To oversee communications to schools and colleges, disseminating information and updates to participating settings and to provide up-to-date information and guidance, organising regular newsletters and sharing information relevant to education settings.(8) To maintain the MHST web page, adding and updating new developments and working alongside digital services.(9) Overseeing data analysis, quality assurance and routine reporting requirements.

Recruitment:1) To support with MHST recruitment including local induction for new staff and to act as the interface for the service with Human Resources, ensuring the recruitment process is efficient and timely and meets the requirements for staff working with children and young people.2) Once a start date is agreed to liaise with the relevant line manager for the new staff member to ensure an induction programme is in place.
Training:1) To be a designated Fire Warden or First aider within the Kaleidoscope Centre and attend meetings, as required.2) To participate in personal development and training programmes as agreed.
Staffing:1) To create and keep up-dated the supervision and line management structures for the MHST which incorporates the details of the posts i.e.. staff members name, role title, WTE, grade. To regularly check this information with the teams and against the establishment on the budgets.2) To update and maintain the absence information recorded on the E-Rostering system on behalf of the MHST.
Financial Management:1) Make purchases or order equipment on behalf of senior staff, through e-Procurement or Digital Services.2) Arrange for the payment of conferences, study days etc by completing the paperwork on e-Procurement.3) Ensure that all financial matters are dealt with in accordance with the Trusts Standing Financial Instructions (SFIs).
Project Management:1) The lead on, or work closely with, the MHST on specific management projects and audits, as required.
Service Requirements:1) To have a detailed knowledge and understanding of the work and services being provided within the MHST and Lewisham CAMHS and to act as a point of information and communication within the service.2) To review, improve, update and implement administrative systems with the admin and business manager, consulting with the Service Managers where necessary.3) Provide day to day operational support to clinical and professional leads within the service, including diary management, administrative duties, taking minutes and managing action logs at senior meetings.4) The post holder will be expected to oversee the use of Electronic Patient Journey System (ePJS) and the uploading of new referrals as well as monitoring performance alongside CSLs so that the service meets its operating targets, though timely reports and support.5) To have a flexible and adaptable approach to work, with the ability to keep to tight deadlines and to prioritise flexibly.6) To maintain a detailed awareness and knowledge of Child and Adolescent services to answer queries from both internal and external enquiries.7) To have a good working relationship and a detailed awareness of all Trust and Corporate Departments.8) Act in a professional manner always, respecting the interests of children, young people and their families being seen by the professional staff and keeping confidential any information on their treatment.9) Monitor and report on data relating to quality assurance for NHSE/ ICS and internal use. 10) Line management to the Band 4 senior business administrator for MHST 11) Deputise as necessary for other members of the team
