Job Title: Purchasing Specialist
Job Summary:
We are seeking a detail-oriented and dependable Purchasing Specialist to support our procurement operations. This role plays a key part in ensuring that materials, supplies, and equipment are ordered and delivered efficiently to support shipyard projects. The ideal candidate is highly organized, communicates promptly, and follows through consistently when processing purchase orders and responding to internal requests. Coordination with yard personnel is also essential to ensure materials are pulled accurately and in a timely manner.
Key Responsibilities:
- Process purchase requests in a timely manner and generate accurate purchase orders (P.O.s).
- Respond to emails and internal purchasing inquiries promptly and professionally.
- Manage daily purchasing activities for materials, tools, and consumables used in shipyard operations.
- Communicate and delegate with yard employees to ensure accurate and timely pulling of orders and materials.
- Monitor order status, follow up with vendors, and ensure timely delivery of items.
- Maintain up-to-date inventory records and anticipate future material needs.
- Meet deadlines for inventory reporting and reconciliation to the company’s corporate accounting department.
- Review quotes and lead times to support cost-effective purchasing decisions.
- Build and maintain working relationships with suppliers; manage vendor records and contacts.
- Assist team members with submitting purchase requests and provide basic training on the purchasing system as needed.
- Resolve order discrepancies, delayed shipments, and other purchasing-related issues.
Additional Responsibilities:
- Maintain petty cash records and track related expenditures.
- Serve as backup support for booking travel or accommodations as required.
- Perform other related tasks and duties as assigned.
Qualifications & Requirements:
- Prior experience in a purchasing or procurement role; experience in a shipyard or industrial environment is a plus.
- Solid understanding of the full purchasing process—from request to P.O. to receipt.
- Proficient in Microsoft Office, especially Excel and Word.
- Experience with accounting or procurement software; Jamis software .
- Strong organizational and communication skills, with a focus on responsiveness and accuracy.
- Ability to prioritize tasks and manage multiple requests in a fast-paced setting.
- Must be able to pass a background check and obtain a TWIC badge.
