Purchase Ledger Clerk
Reports to: Financial Controller
The main aim of the role is to ensure that all purchase orders are raised in good time, correctly authorised, and matched up to the purchase invoices, coded appropriately to the correct division, person, and company.
Purchase Ledger
- Process all Purchase Invoices and Credits by the 8th of each month (if unable to process, pass to Assistant Management Accounts to accrue).
- Log all Queried Invoices on the Exchequer system, with notes, and file in the query folder. Notify suppliers of queries and hold in the query file.
- Reconcile statements as they arrive, request missing invoices, and file in the Statements to Pay folder.
- Reconcile all statements before each payment run (10th, 15th, 25th). Scan, rename, and save invoices, credits, and statements in the Purchase Ledger Folder. Allocate half a day per week to this task.
- Produce payment runs on the 10th, 15th, and 25th, ensuring correct suppliers are paid according to their due dates.
- Regularly collect invoices from customer services to process available invoices.
- Handle Tickets and Tipping Invoices as instructed by Susan/Mo.
- Raise Purchase Orders using the POR log in the shared drive.
- Set up new suppliers with correct details and terms.
- Maintain the Purchase Ledger system and keep it tidy.
- Process invoices and credit notes accurately and promptly.
- Ensure accurate and timely month-end cutoff as per management requests.
- Develop good relationships with key suppliers.
- Gain knowledge of the company IT network.
- Resolve problems and queries effectively.
- Maintain a clear desk policy, ensuring everything is up to date and filed weekly.
- Perform other ad hoc tasks as required.
Compliance
- Ensure all subcontract/disposal sites are approved by management for compliance before use.

- Proficient in Word, Excel, and Outlook.
- High numeracy standards, accuracy, and attention to detail.

- Outgoing, positive, confident, and able to operate at all levels.
- Self-starter, proactive, goal-oriented.
- Ability to recognize potential risks, communicate, and escalate them.
- Familiar with accounting procedures and ledgers.
- Experience with management information and strict reporting processes.
- Strong organizational and time management skills.
