Job description

Prosecutions Administration Assistant needed in Nettleham, Lincoln, £12.31ph PAYE – Reference: 365478

To provide a high-quality administrative service to internal and external partners, including officers, the Crown Prosecution Service (CPS), and His Majesty’s Courts and Tribunals Service (HMCTS). Act as a point of contact and support for officers with case file preparation and progression.

The post holder will be responsible for the administration, preparation, and processing of prosecution files in accordance with criminal justice policy; ensuring the progression of cases through the court process with timely and accurate case preparation.

  1. Collate case files from Police Officers, ensuring they are available to the CPS in readiness for court hearings, meeting the National File Standards and timeframes. Process initial charges, Crime Postal Requisitions, and Remand files, ensuring relevant information is sent to CPS and HMCTS for prosecution and court proceedings.
  2. Input, update, and maintain information on Police, National, and other force computer systems, ensuring data quality and compliance with policies.
  3. Maintain accurate and prompt computerised records to ensure data integrity and accessibility.
  4. Administer and progress Magistrates and Crown Court files; input data; update and quality assure case file information on systems and paper formats for transmission to HMCTS and CPS, adhering to standards for quality and timeliness.
  5. Create electronic case files related to criminal investigations and offences, including inputting and updating court hearing results.
  6. Task officers for further work at the request of CPS, ensuring readiness for upcoming court hearings.
  7. Act as the liaison for case file progression, keeping CPS informed of progress and tasking officers accordingly.
  8. Analyze directions, assess requirements, and process cases to ensure timeliness. Respond to enquiries from partner agencies, HMCTS, CPS, the public, and solicitors, providing advice and support as per protocols.
  9. Ensure all correspondence is quality assured, recorded, and updated on systems/databases within deadlines. Provide feedback and guidance to officers and supervisors on case file quality.
  10. Collaborate with agencies such as Lincolnshire Police, HMCTS, CPS, and other police forces to improve customer service and efficiency.

This is a full-time role on a temporary basis.
