Job description

We have a great opportunity available for a property administrator to join a well-known leisure group on a 4-month maternity contract. The role will be to start ASAP and you will receive a handover from the current incumbent.

Hours: 9-5:30.

Location: Croydon, Hybrid 2 days working from the office, moving to 3 days in May.

The Estates Management Coordinator plays a vital role in the smooth operation and maintenance of the company's property portfolio. This role involves managing key property data, ensuring accurate service charge administration, and overseeing landlord insurance arrangements. The Coordinator also plays a crucial role in maintaining lease compliance, managing budgets, and facilitating effective communication and collaboration with landlords, agents, and internal teams.

Responsibilities:

  1. Assist Head of Estates and Estates Manager with management of the estate in particular:
  2. Maintaining the Master Property Schedule keeping accurate and up-to-date information.
  3. Responsible for populating and maintaining the Property Database.
  4. Responsible for service charge management of all leasehold premises occupied by the company.
  5. Responsible for management of landlord's insurance, in partnership with advisors, to ensure that we are being properly charged and where appropriate challenge costs.
  6. Ensuring that we are compliant with lease terms and that landlords comply with their obligations.
  7. Assist in preparation of Property budget.
  8. Liaising with Finance teams to ensure accurate payments are made in a timely manner.
  9. Liaison with Property Acquisition and Development teams to assist in completing the data flow to Lucernex.
  10. Arrange Tenant Meetings with landlord/managing agents.
  11. Liaison with landlords and managing agents.
  12. Supporting the Estates Management Team with general enquiries and administrative work.

Skills & Experience Requirements:

  1. Have experience in the Estates Management of a multi-site portfolio.
  2. Be a confident and effective communicator.
  3. Familiar with Excel, Word, and various other Microsoft applications.
  4. Familiar with Property Database – Lucernex an advantage but not essential.
  5. Have experience in dealing with Service Charge management.
  6. Understand general estate management issues.
  7. Able to understand leases and have experience in lease negotiations.
  8. Full Driving licence holder and prepared to travel where necessary for the role.
