? Project & Systems Coordinator (Freelance – Part-Time)

From audits to buses to dignity systems — this is ground zero.

  • Location: Birmingham-based preferred (remote start possible). Relocation is not required, but being local may support deeper collaboration in the future. Any move would be self-directed and self-funded.
  • Hours: Project-based, estimated at ~10 hours/week on average, with flexible scope depending on the project phase.
  • Start Date: June–July 2025
  • Contract Type: Freelance (non-exclusive), with potential for extended collaboration if mutually beneficial.

? A Letter From Me

I’m building a living, interlinked ecosystem of trauma-informed, disability-led projects. Spaces for recovery. Systems that hold. Mobility tools that make sense. Writing that heals. And mobile resource hubs and sanctuary structures that meet people where they are.

At the root of it all is one mission: restoring dignity and sovereignty to those the system forgot.

This isn’t a single organisation. I’m developing multiple ventures — some CICs, some LTDs — designed to work together like a biome.

Each one feeds the next.

To move forward, I need someone who can support the structure. Someone who can make calls, visit potential locations, get quotes, chase suppliers, and help cost out what's needed — from trucks to accessible high chairs — while I do audits, creative work, and funding applications.

This is a shadow-facing role. You’ll play a pivotal backstage role in keeping the work grounded and moving.

? Who You Are

You might come from anywhere — care work, creative systems, logistics, business, therapy, events, mutual aid, or something totally different. I’m not looking for a traditional path. I’m looking for someone who fits this role.

You’re probably someone who:

  • Thinks in systems, patterns, and strategic improvisation.
  • Can stay regulated and grounded, even in emotionally complex or high-trust environments.
  • Can confidently call strangers, chase quotes, compare costs, and negotiate respectfully.
  • Has strong written communication, feels comfortable receiving voice notes, takes clear notes, and can track shifting priorities with ease.
  • Works well independently, but isn't afraid to offer thoughtful challenge when needed.
  • Understands that while this isn’t a care role, some projects will involve child-accessible environments, so safeguarding matters.

Required:

  • Demonstrable systems thinking — formal or informal.
  • Familiarity with digital tools (Google Drive, Notion, Airtable, or similar) — or a willingness to learn.
  • Emotional regulation and trauma awareness — this role involves sensitive content.
  • A genuine interest in working within a neurodivergent, disability-led, chronically ill, and trauma-aware environment.

Nice to have:

  • Experience in CICs, care work, accessibility, DV, housing, disability, or startup operations.
  • Skills in logistics, supplier management, cost comparisons, or admin.
  • A background in world-building, project planning, event coordination, or resource mapping.
  • Lived experience of systemic injustice or survival-based innovation.

? Role & Structure

This is a freelance contractor role with room for long-term collaboration.

Average commitment is around 10 hours/week, with flexibility in pacing and task scope depending on the project phase. Hours may expand gradually if funding allows, though the rate may stay consistent to support sustainability during early growth.

You’ll sign a mutual NDA and freelance services agreement to protect both your ideas and mine, especially as this work may involve sensitive material or early-stage innovation. Collaboration rhythms and deliverables will be co-defined, with flexibility to adjust based on evolving needs.

You’ll set your own working pattern — whether that’s small daily contributions or focused sprints. I’m based in Birmingham (GMT) and coordinate via written updates, voice notes, or occasional calls. I prioritise clarity in direction and autonomy in execution.

On occasion, certain projects may benefit from optional in-person work in Birmingham (e.g. venue visits, supplier scouting). These will be scheduled within your agreed hours. Travel costs can be discussed case-by-case.

This role may not suit someone seeking immediate full-time employment. As a self-employed contractor, you’ll manage your own taxes, national insurance, workspace, and equipment. You’ll send invoices at the end of each month (or at another agreed point), and I’ll ensure timely payment within a reasonable window.

You’re welcome to work with other clients — I care about outcomes, not hours tracked.

We’ll shape this in a way that supports the work, not burnout.

You’re stepping into the operational roots of a recovery-based ecosystem—a growing network of interconnected projects. From accessible audits to narrative strategy to mobile resource hubs, the work is wide, but everything shares the same purpose: restoring systems.

Examples tasks might include:

  • Call and compare suppliers for accessible furniture, tech, or vehicles.
  • Research secondhand vehicles and retrofit schemes for mobile units.
  • Scout potential spaces for mobile or semi-permanent use.
  • Identify relevant funding opportunities, grants, and trust directories.
  • Help build basic pitch decks or contact lists for potential funders.
  • Help search for and identify potential hires for future roles.
  • Identify events, conventions, or communities where we can show up.
  • Reach out to values-aligned businesses or community organisations.
  • Maintain project documentation and track shifting priorities in tools like Notion or Airtable.
  • Assist with diary coordination for location visits, meetings, or trainings.
  • Track training needs and safeguarding requirements for new workstreams.
  • Research access, safety, and sensory considerations for public-facing projects.
  • Gather visual and narrative references to support future storytelling and outreach.

This is high-trust, emotionally attuned, early-stage work.

The emotional labour is real — this isn’t a crisis care role, but it does involve working near real-world impact, with trust and sensitivity.
