Job summary

The Project Support Officer will provide day to day, face to face advice to teams implementing Martha's Rule (NHS England Programme), alongside administrative support.

They will have a special focus on component 3. (See NHSEngland.Martha's Rule).

The post holder will be an integral part of delivering Martha's rule NHS England requirements for the Trust, being responsible for driving project delivery, whilst balancing time constraints, scope, risk and quality.

Main duties of the job

Provide administrative support to the Martha's Rule Programme and other public health projects where appropriate.

Assist in project planning where appropriate. This may include co-ordinating, managing and attending meetings/sessions with a range of internal and external stakeholders.

Works to ensure equal accessibility to Martha's rule to all our patients, by being aware of (for example) language and culture barriers that may be abarrier to people using the service.

Acts as a first point of contact for queries.

Job responsibilities

Provide administrative support to the Marthas Rule Programme and other public health projects where appropriate. Assist in project planning where appropriate. This may include co-ordinating, managing and attending meetings/sessions with a range of internal and external stakeholders. Works independently to resolve day to day problems seeking advice where appropriate. Lead on the planning and delivery of assigned projects, using appropriate service improvement techniques to support clinical groups and directorates in the identification of opportunities for improvement. Ensure the efficient running of the assigned groups by supporting the wider team and advise on the strategic delivery of their outputs to align with the quality strategy and key priorities of the Trust. Where appropriate, lead on developing and implementing policy and propose changes in conjunction with working groups which have wider implications for the Trust. Works to ensure equal accessibility to Marthas rule to all our patients, by being aware of (for example) language and culture barriers that may be a barrier to people using the service Support and encourage research and development of quality and assurance processes. Support and advise on policy/service developments adopted by the Trust from government departments and other external bodies. Acts as a first point of contact for queries. Disseminates information as directed. Develops and maintains computerised filing systems and resource library. Liaise with other directorates, provider services and partners. Is responsible for updating spreadsheets and producing basic monitoring reports for NHSE as directed by the Project Lead/s. Maintains and updates the relevant Trust intranet pages as appropriate,uploading documents and content. Develops and updates resources and training databases and is confident to coach and motivate others to participate effectively with the project. Supports assigned sub-committees and group meetings, including minute taking. Upholds an exceptional corporate image when dealing with both internal and external agencies and organisation, building key relationships and maintaining networks.

Person Specification
Previous Experience
  • Previous experience of working within an administration function ideally within improvement or transformational projects in a complex organisation such as the NHS.
  • Experience in planning and organization of straightforward activities (coordinate multi-disciplinary meetings, plan presentations).
  • Demonstrates duties to other colleagues providing practical face to face training to end users.
  • Clear knowledge of NHS England Martha's rule Programme
  • Experience of change management and embedding new processes
Qualifications/ Education
  • Knowledge of administrative procedures: MS Office and specialized project management tools (i.e GANTT chart). Acquired through formal training or experience to diploma level equivalent.
  • Communicates routine project information using persuasive skills and provides training to end users
  • Knowledge and understanding of the changing NHS environment, strategy and policy agendas
  • Understanding of lean methodology
Skills/ Knowledge/ Ability
  • Carry out day to day project duties including high visibility in the wards and communicating effectively with other staff members and patient engagement.
  • Well-developed interpersonal skills with ability to network, work with and motivate a wide range of professionals; fostering collaboration and a participatory approach.
  • Strong organisational and planning skills with the ability to flex to suit the changing situations.
  • Assist the project leads in the development and preparation of the overall project plan and plan key workstream in relation to the project.
  • Communicates information about the project in a development stage and provides training to users.
  • Keyboard skills. Competency in MS Office programmes, interrogating a database and basic Excel skills.
