Job Purpose: We are seeking a highly organised and proactive Project Support Coordinator for a 12-month fixed-term contract.
This role will support the project management team by maintaining accurate documentation, tracking project progress, coordinating engineer schedules, liaising with customers, and ensuring efficient project administration. The successful candidate will play a key role in ensuring seamless project delivery by managing project-related paperwork and assisting with process improvements.
Key Accountabilities
- Project Administration & Documentation: Support the creation and updating of project plans and Gantt charts to ensure accurate project timelines. Maintain and update weekly project trackers, providing real-time visibility into project progress. Create weekly update reports for clients, summarising project status, key milestones, and upcoming activities. Provide visual representations of project progress across multiple projects to support internal and external stakeholders. Assist with process mapping of business processes, identifying areas for efficiency improvements. Support the creation of RAMS (Risk Assessment & Method Statements) documentation. Update projects within the company's CRM platform (Salesforce/Microsoft Dynamics).
- Customer & Engineer Coordination: Manage engineer diaries for installations to ensure efficient scheduling and minimal downtime. Book surveys with customers, ensuring timely communication. Contact customers post-sales to provide updates on next steps and timelines. Support the DNO (Distribution Network Operator) application process as required.
- Financial & Project Reporting: Update project reports, including revenue recognition reports, to ensure accurate forecasting. Maintain and manage cost sheets, tracking actual costs against budgets. Assist in tracking and updating project budgets and expenditures, providing insights into financial performance.
- General Project Support: Support risk and issue management, ensuring risks are logged, tracked, and escalated. Ensure all project documentation is accurate and up to date. Provide administrative support to the project management team. Collaborate with other departments to ensure smooth project execution.
About You
- Bachelor’s degree in business, management, engineering, or a related field
- PMP (Project Management Professional), PRINCE2, Agile PM, or Certified Scrum Master (CSM)
- Understanding of project management methodologies and frameworks
- Knowledge of project stages and key deliverables
- Strong skills in scope, time, and cost management
- Resource planning and workload management experience
- Experience in project support or administration, preferably in a technical or engineering environment
- Proficiency in Microsoft Office Suite and Salesforce; experience with MS Project, Jira, Trello is a plus
- Strong communication skills, both written and verbal
- Basic understanding of financial reporting and cost tracking
- Experience in engineering, construction, or related sectors
- Knowledge of industry standards, regulatory requirements, and compliance
- Familiarity with technical aspects of solar installations
