Position: Project Secretary

Location: 3-4 months initial training in Kingston upon Thames (accommodation provided)

Project Location: Talacre in Wales

Start Date: June 2025

Contract Position: Full Time (37.5 hrs/week) | PAYE

Airswift is recruiting for a global leader in engineering and construction for major energy and infrastructure projects.

We are seeking a highly organized Project Secretary to join the Project Management Department. You will support the Liverpool Bay Project by ensuring smooth daily operations and providing excellent secretarial and administrative support to the Project Team and the Client.

Your Responsibilities Will Include:

  1. Managing incoming calls and welcoming visitors professionally
  2. Drafting, formatting, and managing correspondence and internal communications
  3. Organizing physical and digital project documentation using integrated systems
  4. Preparing reports, presentations, and project-related materials
  5. Attending meetings, taking minutes, and preparing detailed reports
  6. Coordinating international travel, including itineraries and visa processing
  7. Managing office supply orders and maintaining an efficient work environment

What We're Looking For:

  1. Experience: Previous experience as a Project Secretary or similar role in an international setting—experience in the energy, engineering, or infrastructure sectors is a strong plus
  2. Language Skills: Fluent written and spoken English; additional languages are a bonus
  3. IT Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  4. Organizational Skills: Strong attention to detail, ability to prioritize, and manage multiple tasks efficiently
  5. Flexibility: Willingness to work from Kingston upon Thames initially, then transition to Talacre with hybrid working options
