Qualifications

Job Purpose

The role will be responsible for the project planning and delivery of a new SAP Ariba Procurement System for up to 3500 users across a large university campus.

The position will assume delegated responsibility for the management and ultimate delivery of SAP Ariba project and lower level workstreams, within defined cost, time and quality parameters. The role must ensure the project is managed within current financial procedures.

To lead multidisciplinary teams responsible for the feasibility assessment, design and implementation of the project, whilst providing supervision and contract management of external suppliers.

Duties and Responsibilities
  • Accept delegated responsibility for management and delivery of the primary project, while complying with current department and Financial Procedures.
  • Establish a project plan from inception to completion considering all relevant statutory and regulatory requirements, establish targets with respect to project delivery; monitor and report progress against these targets.
  • Manage the preparation of briefs with departments, managing the preparation of specifications, and the preparation of reports, where appropriate. To brief external suppliers or to gain appreciation of the user departmental requirements and the proposals, in conjunction with a Business Analyst. Project manage, identify and implement methodologies and procedures to manage and minimise the risks identified.
  • To prepare accurate project estimates and budget costs
  • Manage the decision making process by carrying out all necessary liaisons and negotiations with all parties involved ensuring value for money.
  • Review specifications for tender and contract documentation.
  • Manage large, composite project and programme budgets in close liaison with the Finance and Procurement departments to ensure all projects are delivered within approved budget parameters.
  • Manage the University’s internal Project Progressing Committee process for individual projects and to carry out timely and effective management reporting.
  • Hold and conduct regular update meetings, workshops and progress meetings with project leads and all relevant stakeholders.
  • Ensuring an audit trail is maintained.
  • Co-ordinate and disseminate information to all necessary parties,
  • Provide guidance to team and other project assigned personnel and acting as a ‘project expert’ within a relevant professional discipline.
  • To manage the allocation of team resources both internal and external, within the structure of the projects allocated, to maintain an efficient, cost-effective project delivery.
  • Ensure completion of the Post Project Review process is completed for all relevant capital and other major projects in accordance with department and financial guidance.
PERSON SPECIFICATION
  • A related degree or equivalent professional qualification
  • Significant experience of project delivery in a ‘client side’ lead project management position is essential.
  • The post holder will have a working knowledge of the delivery of projects within medium to large sized complex multi departmental enterprises. Ideally within a Higher Education Environment
  • The post holder will be expected to have a high degree of competency in: The use of project / delivery tools, procedures and administration - Procurement and project management experience - Strong Stakeholder Management and liaison skills - Cost management.
  • The role requires exceptional organisational skills and the ability to coordinate actions across multiple different team members, whilst keeping to project timescales.
  • Have exposure in the delivery Software / Systems / Technology projects.
  • Excellent interpersonal and communications skills, with the ability to explain/present complex information. Develop internal and external relations, motivate, develop and encourage performance in others and the ability to negotiate and persuade at a high level.
  • The ability to form strong working relationships with the Finance / Project team and with stakeholders.
  • Willingness to work flexibly, as and when required
