This global, market-leading executive search firm is looking for a Project Manager to support the team with all admin and logistics surrounding their mandates. You will be based in stunning, modern open-plan Mayfair offices among a driven, dynamic, and fun team. The role is varied and requires someone who thrives in a fast-paced, ever-changing environment. The team is supportive, and the company culture is fabulous. The role will involve:

  1. Supporting the team with the end-to-end execution of search assignments by maintaining a robust internal process to reduce time to shortlist and placement, enabling the wider Sales and Delivery teams to meet project milestones. This includes extensive diary management of stakeholders for pitches, update calls, shortlist stages, and close-down meetings.
  2. Creating documentation for searches, including pitches, engagement terms, NDAs, search packs, and candidate briefing documents, requiring strong knowledge of Microsoft Suite and Adobe for quick and accurate execution.
  3. Supporting client events by managing venue bookings, logistics, collateral, diary invites, and updating the CRM system to track ROI.
  4. Scheduling and tracking business development meetings for your Partner within the CRM system.
  5. Providing ad-hoc admin support to Partners and team members as needed.
  6. Utilizing CRM and ATS systems extensively to support forecasting, event management, candidate management, and business development activities.
  7. Collaborating with Partners/Directors to ensure successful search completion and capturing next steps.
  8. Supporting company-wide meetings through deck preparation and note-taking.
  9. Assisting with onboarding of new starters by working with HR and Partners to schedule meetings and prepare necessary collateral.

Strong organizational skills, the ability to prioritize, use initiative, and work independently or as part of a team are essential. Excellent communication skills are required for liaising with high-profile clients and candidates, including rapport-building and confident phone manner. Attention to detail is critical, especially for client and candidate-facing documents. The role requires 3-5 years of experience, ideally in Executive Search or a similar professional services role, a strong academic record, proficiency in MS Office, and the ability to learn the firm’s internal database system.
