Sweet&Chilli, a dynamic agency in London, is seeking a Project Manager to manage client campaigns and live events. The role requires strong organizational skills, a passion for events, and at least 3 years of experience in event management. S&C UK is broadly split into 2 client facing departments: Event Production and Creative Strategy, supported by our Client Services, Finance and Logistics teams. ROLE OVERVIEW
The role will be primarily office-based at Sweet&Chilli’s HQ (8 Holyrood St, London SE1 2EL) and with a significant amount of time spent on site at events, site visits and client meetings.
You will primarily be reporting to Head of Client Services, with close links to both our Hospitality Director and Experiential Directors.
As Project Manager you are the operational and administrative lynchpin behind the seamless delivery of client campaigns and live event activations. You will work within the Client Services team and alongside the Event Production department. You will ensure timelines are met, details watertight, and communications flow clearly between internal teams, clients, suppliers, and venues. You are a methodical doer who thrives on structure, detail, and bringing order to the creative process.
This is a dynamic role suited to someone with proven experience in a fast-paced agency or event production environment, with a passion for events, hospitality and unforgettable brand experiences.
KEY RESPONSIBILITIES
Project/Event Coordination
· Support the end-to-end management of Brand Experience, Production & Hospitality projects, from onboarding to wrap-up, working closely with Events team and Client Leads
· Provide day-to-day operational and administrative support across multiple client projects and live activations
· Support the delivery of project timelines, budgets, and critical paths
· Manage documentation: from internal briefs and supplier POs to RAMS and H&S requirements. Ownership of project folder structure and ensure assets, contracts and documents are filed and up to date
· Collate all event-based information, and assist with coordinating logistics including staffing, kit, travel,
accommodation, menus and stock
· Maintain project trackers, event running orders and resourcing schedules
· Lead internal and client status meetings, capturing notes/actions, updating teams and holding stakeholders to task.
· Monitor cost control of managed events/projects
Client Management
· Liaise with clients on logistics and information-gathering (under direction of Senior team)
· Prepare agendas, meeting notes, and action logs for client calls
· Respond to day-to-day client queries and requests in a timely, professional manner
· Support the preparation of end-of-activity reports and case studies
· Opportunity scouting for new business and business development
· Work with staffing leads to ensure correct resourcing for events
· Coordinate briefing documents for freelance teams
· Book suppliers and freelancers, issue POs and gather relevant insurance, H&S, and payment details
· Maintain positive relationships with regular suppliers and freelancers
WHAT WILL YOU BRING?
Experience
· 3+ years proven success in event management, production and experiential marketing
· Management of multiple deadlines and fast-moving projects
· Familiarity with creative agencies and live event workflows
· Background in Hospitality, drinks brands or lifestyle marketing
Skills & Attributes
· Passion for the events and hospitality world!
· Highly organised with strong attention to detail
· Calm under pressure, with a practical approach to solving problems
· Clear and professional communicator
· Numerate and confident managing project budgets, quotes and reconciliations
· Strong IT skills – Office 365, Excel, SharePoint, and cloud-based file systems. Scoro or other project management tools experience is a plus.
· Understanding of event health & safety, RAMS, and licensing
REMUNERATION
This is a contract role based on 6 months, 1st June 2025 – 1st December 2025, with a pro rata salary of £42,000 p.a. (£3500 per month), outside IR35, with the Project Manager invoicing Sweet&Chilli Ltd. monthly with 7 day payment terms. Overtime when working on events and projects on weekday evenings or weekends is dealt with via lieu time taken.

HOURS OF WORK / HOLIDAY
In line with the nature of the industry, you may be required to work such additional hours as may be necessary for the proper performance of your duties without extra remuneration,
Holiday Allowance – 20 days per calendar year pro rata (plus public holidays).
