Role: Project Coordinator

This role is based in our Mallusk office and supports HVAC Capital Works projects in Northern Ireland. The Project Coordinator is a key team member responsible for coordinating site construction projects, managing schedules, handling communications, and ensuring project efficiency and timeliness.

Key Responsibilities
  1. Coordinate site construction projects for effective and timely execution.
  2. Manage scheduling of engineers to ensure adequate coverage.
  3. Handle incoming calls and record/manage communications efficiently.
  4. Support clients via telephone and email.
  5. Log and assign maintenance response calls promptly.
  6. Process paperwork for operatives and manage payment submissions.
  7. Respond within agreed timeframes to meet service levels and contract terms.
  8. Achieve targeted KPIs related to contract requirements.
  9. Assist in cross-training team members for flexibility.
  10. Perform routine administrative tasks.
  11. Liaise with stakeholders and clients, escalating issues early.
  12. Support applications and certificates from authorities/clients.
  13. Ensure safety and confidentiality in all tasks.
  14. Schedule daily runs, organize materials, and coordinate with suppliers and subcontractors.
  15. Calculate engineer performance and bonuses.
Person Specification
  • Minimum 1 year of office experience.
  • At least 5 GCSEs, including English and Maths.
  • Proficient in Microsoft Office.
  • Proactive, able to work independently with limited supervision.
  • Strong customer focus and professionalism.
  • Excellent organizational and communication skills.
  • Team player with adaptability and a positive attitude.
  • Trustworthy, approachable, and capable of multitasking.
