This is a Hybrid role supporting roles across the region.

Role

We are currently seeking a full time Project Coordinator to help to support our strong order book. The successful candidate will have proven administrative experience within an engineering and construction environment or similar.

Forming part of Dalkia Energy Services Project Support Team, the Project Coordinator will provide a wide range of administrative support to multiple teams to ensure the effective administration, control, and co-ordination across our projects. You will assist with matters including project administration, purchasing, document control, site administration, project coordination tasks, and SHEQ (safety, health, environment and quality).

The role will include coordination with internal and external stakeholders, including technical engineers, site based project management teams, clients, design consultants, and delivery subcontractors.

Primary Responsibilities

  • Raise and obtain approvals for subcontractor and purchase orders.
  • Provide administrative support for Microsoft Dynamics NAV.
  • Oversee and manage suppliers for site equipment, hire, stationery, PPE, branded uniforms, and ad-hoc purchases – identify cost-saving opportunities and improve service quality.
  • Track and record all deliveries, ensuring accuracy and timely receipt of goods.
  • Management of hotel and travel bookings and their approvals.
  • Construction site supplies ordering (e.g. materials, PPE, broadband, contact cards, signage).
  • Upkeep of project document registers, RFI registers, transmittal registers, and contact directories.
  • Upkeep of project specific email address inboxes and the migration of files to SharePoint to record project history.
  • Supporting the administration of Project SharePoint sites.
  • File naming and codes support for project specific applications.
  • Compilation support for O&M / CDM files.
  • Attendance at project meetings and recording of meeting minutes.
  • Scanning and filing of hard copy site documentation.
  • Coordination of site calendars, inductions, deliveries, sign-in books, RAMS.
  • Health and safety reporting, monthly KPI collation and supplier liaison.
  • Supporting the business with ISO, SHEQ, CHAS, and Business Management System upkeep, audits, action management and non-compliance handling.
  • Document management, formatting, and collation.

Knowledge and experience

  • Previous experience in site/commercial administration.
  • Experience using ERP systems (Microsoft Dynamics NAV or similar)
  • Strong organisational skills and attention to detail.
  • Ability to manage multiple tasks and prioritise effectively.
  • Excellent communication and negotiation skills.
  • Strong problem-solving abilities and cost-saving mindset.
  • Proficiency in Microsoft Office.
