Project Coordinator / Administrator

Location: Bristol/Hybrid, UK - 3 days wk onsite

Department: CTO

Reports To: Project Manager

Security Clearance: Eligible for UK Security Clearance (SC) – Essential

3 days per week in our central Bristol office, 2 days from home.

Salary: £30,000 - £35,000 + benefits (see below)

About the role

We are seeking a detail-oriented and proactive Project Administrator / Coordinator to support the delivery of complex, multi-domain projects across software, edge computing, and hardware deployment. This role is ideal for someone with 2–3 years of experience in project support, looking to contribute to mission-critical operations in a fast-paced, regulated environment.

Responsibilities
  • Provide administrative and coordination support to project managers across multiple maritime surveillance initiatives.
  • Maintain and update project documentation, schedules, risk logs, and reporting dashboards.
  • Support and develop governance activities including stakeholder meetings, project boards, and change control processes.
  • Track progress against delivery plans, flagging risks, issues, and dependencies, and proposing mitigation strategies.
  • Ensure compliance with Sirius Insight’s internal frameworks and ISO-accredited quality standards.
  • Liaise with engineering, finance, and operations teams to ensure alignment and timely execution.
  • Manage logistics including personnel coordination, equipment movement, fleet scheduling, and site support.
  • Oversee electronic documentation filing, including site-generated content, within structured repositories.
  • Contribute to the development and refinement of project and service processes and procedures.
  • Consolidate project outcomes and feed insights into future planning and business development efforts.
  • Support financial reporting, including monthly consolidation and validation of project accounting data.
What we are looking for
  • Experience in Business, Engineering, Project Management, or a related field.
  • 2–3 years of experience in a project support or coordination role, ideally within Defence, Engineering, or a similar STEM environment.
  • Strong understanding of project/programme management disciplines and their practical application.
  • Experience coordinating meetings, setting agendas, and managing forward plans.
  • Proficient in Microsoft Office (Outlook, Word, Excel) and project tools such as MS Project and Azure DevOps.
  • Excellent information management skills.
  • Strong organisational skills with attention to detail and the ability to prioritise tasks independently.
  • Effective written and oral communicator.
  • Flexible and agile, able to respond quickly to changing priorities.
Desirable
  • Familiarity asset management processes
  • An understanding of financial reporting and cost/revenue tracking in project environments.
  • Experience working in an agile/scrum environment
  • APM PFQ (Project Fundamentals Qualification) or equivalent certification.
