VANRATH is excited to be partnering with a dynamic services company to appoint a highly organised and proactive Project Coordination Administrator. Based at their modern office in Mallusk, this is a brilliant opportunity to join a collaborative, fast-paced environment with clear pathways for career development.

Location: Mallusk
Schedule: Monday - Friday, Full-time (Permanent)
Salary: £26,000+ (flexible based on experience) + top-tier benefits + training & progression in a vibrant, supportive setting.

Your Day-to-Day

You'll be the central point of coordination for on-site service delivery, ensuring projects stay on track and support requests are handled efficiently. From scheduling field teams to liaising with clients and managing internal records, your role is key to ensuring seamless operations across all touch points.

Key Responsibilities
  • Coordinate daily field service activities, ensuring technicians are assigned effectively.

  • Track ongoing project time lines and escalate delays or issues where needed.

  • Act as a primary contact for client queries via phone and email, delivering exceptional service.

  • Log service and maintenance calls and ensure timely completion of each job cycle.

  • Monitor and manage work flow documentation for invoicing and compliance.

  • Assist with internal KPI tracking and ensure contract SLAs are consistently met.

  • Provide administrative support across the department, including document handling and stakeholder updates.

  • Proactively highlight any scheduling issues or resourcing challenges to the appropriate manager.

  • Cross-support within the team to ensure continuity during leave periods or high-volume times.

What We're Looking For
  • Previous experience in a coordination, administrative, or customer support role.

  • Confident communicator with strong organisational and multitasking abilities.

  • Comfortable working across Microsoft Office (especially Outlook, Word & Excel).

  • A positive, professional approach to internal and external communication.

  • Able to manage time effectively and adapt to changing priorities.
