About the Role
To support the Project Managers with all administrative duties and to ensure all work is compliant with respect to Project Delivery.
What you will be doing:
- Accurately process information and ensure deadlines are met.
- Participate in attaining and maintaining company certification systems.
- Suggest corrective actions for any non-compliance.
- Client interfaces - receive projects via Alfresco and raise Ipsum jobs on the database.
- Liaise with Project Managers to issue for quoting and oversee the PO process, including preparing quotations.
- Subcontract liaison and potential raising of purchase orders.
- Preparation, production, and quality checking of work packs.
- Provide commercial support to Project Managers and the Commercial department.
- Monitor the performance of the work programme to ensure efficient delivery.
- Report process management data.
- Support customer interactions – general administration (carding preparations and typing correspondences).
- Work closely with internal customers, divisions, work crews, clients, and stakeholders to plan, review, and promote continuous improvement.
- Monitor performance, provide feedback, and suggest solutions for non-conformances.
- Assist operational management and supervisors in preparing RAMS/job packs, briefing workers, and ensuring reviews and updates at regular intervals.
- Support operational management with client, project, and subcontractor pre-start workshops, especially for planned high-risk work packages, to ensure safe execution.
- Assist in closing out incident investigations and ensure recommendations are implemented.
- Support third-party audits and accreditations, and assist with closing out observations and non-conformities.
What you will bring:
- Secondary education, minimum GCSEs or equivalent in maths and English.
- Proficient in Microsoft Office, including Excel, Word, and PowerPoint.
- Working towards NEBOSH qualification (preferable).
- Previous administrative experience, ideally as a Project Assistant or supporting Project Managers with high volumes of work.
- Experience with Streetworks noticing and hiring of plant (preferred but not essential).
- The ability to remain calm under pressure with excellent communication skills.
- A desire for self-improvement, motivation, and ability to work independently.
- A strong customer focus.
- The ability to identify where assistance can help colleagues within the team.
