With a strong pipeline of secured projects for 2025/26 and continued growth across the business, we are now seeking an enthusiastic and organised Project Administrator / Document Controller to join our team based at our Design, Digital, and Off-site Manufacturing facility in Coatbridge.
This role is offered on an initial 6-month fixed term contract andwe are open to Full time, part time and flexible working hours. The role is office based.
The Role
- Document Management: Keep track of all incoming and outgoing project documents, including drawings, technical submittals, RFIs, O&M manuals, and specifications.
- Filing Systems: Set up and maintain organised electronic and paper filing systems that meet both company and project requirements.
- Document Control: Ensure all documents follow the correct procedures, version control is maintained, and distribution is accurate and timely.
- Team Collaboration: Work closely with project managers, engineers, site teams, subcontractors, and clients to support smooth communication and timely document flow.
- Platform Management: Upload, manage, and update documents using various project platforms such as Viewpoint, Asite, Aconex, or client-specific systems.
- Audit & Compliance: Support audits by ensuring all documentation is up to date, correctly filed, and meets compliance standards.
- Reporting: Provide regular updates and reports on document status, outstanding items, and overall compliance.
- Archiving: Oversee the final archiving process, ensuring all project records are properly stored and accessible for future reference.
What we are looking for
- Proven experience in a similar role, preferably within the construction or building services sector.
- A great team player with a willingness to support the wider team to achieve our goals.
- Working knowledge of the Microsoft Office package (Excel, Word, Teams) and a willingness to learn other systems.
- Excellent communication skills with a friendly and approachable nature.
- Strong organisational skills with attention to detail and accuracy.
- Ability to manage multiple projects and priorities effectively.
- It would be great if you have an understanding of construction documentation and workflows. (not a deal breaker though).
