Portfolio Coordinator – Recruitment Sector

Location - Warrington (Hybrid - 2-3 days in office)

Salary - £30-35k

My client are seeking a highly organised and detail-driven Portfolio Coordinator to join a fast-paced, growing business in the recruitment sector. This is a key role within the organisation, ensuring the smooth running of projects from initiation to completion, maintaining data integrity, and supporting the business in delivering exceptional service to both clients and contractors.

About the Role:

In this role, you will be responsible for owning and managing processes across multiple live projects, ensuring timelines, budgets, and deliverables are met. You will work closely with project teams, senior management, clients, and contractors to ensure operational excellence, financial accuracy, and consistent project delivery.

Key Responsibilities:

  • Own all data entry for live projects within CMap.
  • Manage processes to ensure contractors are paid and clients are billed accurately and on time.
  • Execute project control processes, including:
  • Project initiation controls to ensure all required actions are completed before kick-off.
  • Deliverable tracking to ensure timely, cost-effective, and high-quality completion.
  • Project closure processes, including reporting and lessons learned.
  • Produce essential control documentation from proposal through to delivery.
  • Collect and analyse project metrics, providing reports to senior management to highlight performance trends.
  • Maintain data quality within CMap and Eve (financials) through thorough checking and interrogation of information.
  • Oversee and facilitate project kick-off meetings.
  • Produce and standardise key documentation across the project portfolio, including:
  • Project management documentation (scope, schedule, budgets, risks, and issues).
  • Delivery documentation (agendas, charters, reports, and presentations).
  • Liaise with project team members to mitigate risks, resolve issues, and ensure deliverables are achieved.

About You:

We’re looking for someone with:

  • Proven experience in an administrative role within a recruitment or sales business.
  • Exceptional organisational skills and attention to detail.
  • Strong ability to manage multiple priorities in a fast-paced environment.
  • Excellent communication skills, both written and verbal.
  • Proficiency with project management and/or CRM systems (CMap experience desirable).
