About the role

Balfour Beatty is seeking a Project Administrator to join our Power Transmission & Distribution (T&D) team, supporting the Apollo Substation project in Woolavington. This is an exciting opportunity to work with a leading infrastructure company and contribute to the successful delivery of key power projects.

Key responsibilities
  • Coordinate and assist the Project Management, Engineering, and Design teams in the execution of specified projects.
  • Provide comprehensive secretarial and administrative support to the project team.
  • Liaise with a wide range of internal stakeholders to ensure all project processes and functions are efficiently supported.
  • Ensure timely and effective project delivery through proactive administrative management.
  • Serve as a point of contact with clients regarding project administration, maintaining professional and effective communication.
  • Ordering plant and material from internal and external supplies, arranging transport if required, and liaising with Plant Desk if repairs/replacements are necessary.
  • Enter all Waste / Special Waste Transfer notes onto the Environmental Database at the end of each month. Check that all new subcontractors have full licenses and enter onto database.
  • Control of all incoming and outgoing correspondence, project files, standards library, design log, minutes of meetings and other project-related documentation.
  • Issue and maintain Site Start Up Packs for contracts.
  • Prepare documents for close out of contract meetings and submit documents to client as required. Take meeting minutes as required by the Project Manager.
  • Check that all vehicles are allocated to the correct contract on a weekly basis, monitor permit to drive and drivers report. Use of the Masternaut system would be advantageous.
  • Ensure general health and safety is maintained and project-related administration duties are carried out in line with the Business Management System as and when required.
  • General duties such as minutes of meetings, photocopying and scanning, and any other ad hoc assistance as required by the company.
  • Ensure Balfour Beatty's Code of Conduct is understood, adhered to and promoted across the business to ensure safe, compliant and consistent working practices.
