Job summary

Birmingham City University is seeking Programme Administrators to join the Student and Programme Administration Team. You will support the administration of academic programmes in line with university regulations and service standards, ensuring high-quality student services across the School.

The role requires experience in busy administration, attention to detail and excellent communication, with hybrid working and generous leave as part of the package.

Qualifications

Responsibilities

  • Provide comprehensive administrative support across the academic lifecycle in line with regulations, policies and service standards.
  • Maintain accurate student and programme records using university systems, ensuring compliance with institutional requirements.
  • Respond professionally to enquiries from students, academic staff and colleagues.
  • Prepare and process assessment data, including marks entry, exam board preparation, and communication of results.
  • Support programme changes, withdrawals, interruptions, and transfers.
  • Provide administrative support for programme-related meetings, including minute-taking and documentation.
  • Contribute to standardised processes across programmes for consistency and efficiency.
  • Collaborate with other administrators to share knowledge and best practices.
  • Assist with collecting and processing student engagement and attendance data.
  • Support events such as enrolment, graduation and open days.

Role Summary

We are seeking Programme Administrators to join our Student and Programme Administration Team, supporting the delivery of high-quality services across the University.

In this role, you will be supporting the administration of academic programmes in line with agreed university regulations, policies, and service standards, ensuring programmes adhere to institutional strategy. Key responsibilities include providing high quality, efficient and effective administrative support for students with responsibility for a wide range of course administration duties, sharing responsibility for efficient and seamless delivery of student services across the School.

Key Responsibilities
  • Provide comprehensive administrative support across the academic lifecycle, in line with regulations, policies and service standards.
  • Maintain accurate student and programme records using university systems, ensuring compliance with institutional requirements.
  • Respond professionally and promptly to enquiries from students, academic staff and other colleagues.
  • Prepare and process assessment data, including marks entry, exam board preparation, and communication of results.
  • Support the administration of programme changes, withdrawals, interruptions, and transfers.
  • Provide administrative support for programme-related meetings, including minute-taking and preparation of documentation.
  • Contribute to the implementation of standardised processes across programmes, ensuring consistency and efficiency.
  • Work collaboratively with other administrators across the institution to share knowledge and best practice.
  • Assist with the collection and processing of student engagement and attendance data.
  • Support key university events such as enrolment, graduation and open days, and clearing as required.
  • Experience of working in a busy administrative role.
  • Skills in organising and prioritising workloads effectively to meet deadlines.
  • Experience of using digital systems to manage data and records.
  • Strong attention to detail and commitment to accuracy.
  • Excellent interpersonal and communication skills.
  • Ability to work effectively as part of a team.
  • Experience of responding to enquiries in a professional manner.
  • A commitment to delivering excellent service to students and staff.
  • Experience working in higher or further education.
  • Familiarity with student records systems or virtual learning environments.
  • Understanding of key stages in the student lifecycle.
