Job Summary

The Midwifery Practice Education team at Ashford and St Peters NHS Trust are looking for an administrator to join the team. You will be a central team player within the Learning & Development workstream, working alongside the quality & safety department & staffing co-ordinator. We need you to be enthusiastic, organised and motivated with the ability to work effectively both within a team and independently.

We want you to become an expert in the organisation and administration of the training for the Maternity Department. You will act as the first point of contact for any correspondence regarding training needs. Ideally you will demonstrate great communication skills, a strong work ethic, a good sense of accountability and the ability to work under your own initiative. Attention to detail is essential. We need you to be competent with computer packages, particularly Microsoft Excel.

Main duties of the job

This is a 12 month Maternity Leave Cover.

  1. Assist the Trust Midwifery CPE team in the co-ordination and advanced planning of all of the maternity division face to face & online mandatory training in line with CNST requirements.
  2. Ensure all staff have the right training allocated prior to expiry and all relevant communications are sent to course facilitators, staffing coordinators and attendees.
  3. Be the first point of contact for all staff and facilitators responding to queries and managing the maternity training inbox.
  4. Monitor bookings, follow up DNAs and collate all Attendee registers.
  5. Undertake the day to day administration tasks including minuting meetings, the sending of invites, agendas and all the administrative duties for the external courses.
  6. To use in real time the maternity division database working alongside the staffing co-ordinator. Generate statistics on forecast and actual compliance for the division.
  7. Attend all relevant meetings with the CPE team.
  8. Ensure staff ESR profiles are updated with accurate training records.
  9. To support the department and organisation by carrying out any other duties that reasonably fit within the broad scope of a job of this grade and type of work.

  • Excellent communication skills both verbal and written.
  • Ability to manage and prioritise workload.
