Job Description

ACCOUNTABILITIES & DELIVERABLES
Data Analysis & Insights Generation
  • Analyze large datasets to identify trends, patterns and key business insights including maintenance, asset and service delivery data within a Facilities Management (FM) environment.
  • Develop actionable insights that drive business decisions and improve operational performance with a focus on maintenance efficiency, asset performance, and supplier outcomes.
  • Use statistical techniques, predictive modelling and data mining to enhance reporting accuracy and support preventative maintenance and lifecycle planning.
Reporting & Visualization
  • Design and maintain dashboards, reports and scorecards using tools like SQL, Power BI, Looker, Tableau or Excel including outputs derived from CAFM systems.
  • Ensure data integrity and accuracy in reporting, aligning with business needs and commercial performance requirements.
  • Present insights in a clear and compelling manner to both technical and non‑technical stakeholders including operational FM teams and external suppliers.
Business Problem Solving
  • Identify root causes of business challenges using data-driven approaches, particularly in relation to maintenance performance, service failures and cost drivers.
  • Recommend data‑backed solutions to optimize business processes, efficiency and customer experience, supporting improved supplier performance and value for money.
  • Work cross‑functionally with teams to implement insights‑driven strategies across the FM operations, commercial and supplier management functions.
Performance Tracking & Continuous Improvement
  • Monitor key performance indicators (KPIs) and provide insights for performance enhancement.
  • Support the development of forecasting models to aid decision‑making, such as maintenance demand, cost forecasting and resource planning.
  • Continuously refine data methodologies to improve the accuracy of insights and reporting ensuring CAFM and maintenance data is effectively utilised.
Stakeholder Engagement & Collaboration
  • Engage with key stakeholders to understand data requirements and business objectives.
  • Communicate insights effectively to senior management and operational teams to support service performance and commercial decision‑making.
  • Act as a strategic partner by providing data‑driven recommendations for business growth, supplier optimisation and continuous improvement in FM service delivery.
PERSON SPECIFICATION
  • 2+ years of experience in data analysis, insights or a similar analytical role, ideally within the Facilities Management (FM), property, or built environment sector.
  • Experience working with CAFM systems or maintenance management platforms and extracting, analysing and interpreting maintenance and asset data.
  • Proven experience analysing maintenance, service delivery, or operational performance data to support commercial decisions and supplier performance management.
  • Demonstrable hands‑on experience and/or relevant qualifications in data visualisation tools such as Power BI, Tableau, or Looker with the ability to design and deliver end‑to‑end dashboards and reports.
  • Strong practical experience and/or formal qualification in SQL with proven capability in querying, joining, and manipulating data across multiple datasets to support analysis and reporting.
  • Proven understanding of fundamental statistical analytical techniques (Process Analytical skills such as Six Sigma or Prince2 would be advantageous).
  • Experience with statistical programming languages such as Python or R is a plus.
  • Excellent communication and storytelling skills to convey data insights to technical and non‑technical audiences including operational and supplier stakeholders.
  • Strong problem‑solving skills and attention to detail.
  • Ability to develop practical solutions based on outputs of data particularly in an operational or FM context.
  • Familiarity with predictive analytics and machine learning techniques is a bonus.
  • Microsoft application proficiency, including Excel and PowerPoint.
