At Wax London, every collection is a balance of creativity, detail, and precision. As Product Development Administrator, you’ll play a pivotal role in supporting the Head Of Product Development and Supply Baseto deliver commercially strong, design-led collections each season.
You’ll be responsible for managing the flow of information, samples, and data that underpin the development process - working closely with suppliers, design, garment tech, and production. From raising proto and SMS orders to maintaining accurate BOMs and tech packs, you’ll ensure everything runs on time, to budget, and to Wax London’s standards of quality.
You’ll also support the wider business with ad hoc requests from the senior leadership team - this is a collaborative role in a fast-paced, growing brand.

Responsibilities
Product Development & Critical Path Support
- Maintain and update the product development critical path, ensuring sample milestones are tracked and risks flagged early.
- Assist with raising proto and SMS orders with suppliers, ensuring fabrics, trims, and labels are confirmed and available.
- Track proto andsalesman samples through every stage, ensuring timely delivery and accurate records.
- Have a working awareness of fit sessions and sample status.
- Ensure BOMs and tech packs are accurate and updated before handover to suppliers at development and to the production team at order raising.
Costing & Commercial Support
- Support the Manager in maintaining seasonal costings against budget and pricing architecture.
- Record and track sampling costs, fabric consumption, and trim usage, reporting any overages or risks.
- Keep accurate seasonal records of fabrics, trims, and lab dips to ensure nothing is lost or duplicated.
- Maintain high levels of sample storage and tracking in the office and storage areas.
- Act as a daily contact for suppliers on sampling queries, order confirmations, and delivery updates.
- Gather supplier ‘Get to Know You’ forms and issue to relevant stake holders and file.
- Ensure supplier documentation (tech pack confirmations, sample invoices, mill reports) is collated, completed and filed.
Cross-Functional Collaboration
- Support the Production Manager to cross check BOMS’s closely with Design to ensure correct details are passed to suppliers and reflected in samples.
- Support the Manager in collating fabric mill reportsand swatches in preparation for risk assessment with Compliance and Production teams.
- Liaise with Garment Tech for an overview of approvals and resubmissions.
- Assist in preparing range review boards, showroom set-ups, and line sheets.
Systems & Data Management
- Maintain accurate product data on Zedonk, ensuring BOMs, style codes, and timelines are up to date.
- Keep the system live with real-time sample and cost updates, reducing errors across teams.
- Manage seasonal Excel trackers for samples, costings, and approvals, ensuring information is clear, accurate, and shared on time.
- Produce Excel reports as required for the Manager.
- Proactively flag data inconsistencies, resolve errors, and suggest improvements to reporting and workflow.
KPIs
Product Development & Sampling
- ≥95% of proto, SMS, and PP samples delivered on time to meet critical path milestones.
- 100% of BOMs and tech packs updated before supplier handover.
Costing & Data Accuracy
- Sampling budgets tracked with <5% variance.
- Zedonk and trackers maintained with <1% error rate.
- Supplier queries acknowledged within 24 hours.
- Seasonal sample distribution deadlines met in full across all channels (wholesale, e-comm, press).
